Description of Job

About the Position

This position is part of CDOTs Region 1 Maintenance Section 9 which covers Golden up to the Eisenhower/Johnson Memorial Tunnels. This position is located in CDOTs Dillon office.


This position supports the Maintenance Section by diagnosing and resolving issues related to SAP/Work Manager work orders and timesheet population that occur in the Maintenance Levels of Service (MLOS) and Plant Maintenance (PM) programs. This position procures goods and services related to road and tunnel operations. This position must understand and utilize all CDOT outline agreements and State Awards. This position performs accounts payable job duties and assists the Maintenance Section with reporting data entry electronic filling tracking and verifying information.


Your duties and responsibilitieswill include but are not limited to the following:

  • Assist in the management of the SAP Plant Maintenance module which includes material management SAP/Work Manager work orders Maintenance Levels of Service (MLOS) budget and Plant Maintenance Activities for Region 1 Section 9.
  • Work with field maintenance personnel supervisors and MLOS Coordinator to ensure regionwide and statewide consistency of data collection methods analysis reporting and that proper operations are occurring within the system.
  • Assist the MLOS Coordinator by reviewing and correcting data in SAP regarding work orders work manager and timesheet population; ensuring accuracy of data input for the PM program; and completing the work orders once they have been corrected and/or are accurate;
  • Assist with the training of approximately 140 employees on SAP and Work Manager System process changes and new software program changes.
  • Assist with training for supervisors on various SAP T-Codes related to work orders time review and approvals;
  • Prepare requested reports for all maintenance activities (e.g. snow costs road resurfacing plans roadway surface accomplishments etc.).;
  • Assist in the creation of formatted reports that adhere to CDOT design specification as outlined by senior management. Assist in the development of and queries information from SAP to provide information for statewide/section level ad hoc interim and annual reports used to retrieve historical and current data;
  • Report information through SAP generated reports and perform data entry in SAP and required spreadsheets and databases;
  • Review and verify that all vendors are invoicing correctly by cross referencing the quote Cooperative Agreement Contract or Task Order Contract. Verify that payment is made to the correct vendor remit number certify and complete (Buyer Level Review in OnBase) all net 30 and documents for payment.
  • Add relevant invoice costs into work orders and upload the invoices and documentation.
  • Create shopping carts as required and track and complete all paperwork required by Purchasing for PO creation following up to ensure proper coding.
  • Manage the Section 9 hard copy and electronic paid files and follow retention schedules for Accounts Payable Reconciliation (Park P-Cards).
  • Work with vendors on invoice discrepancies/reconciliations current W9 requests remit info and CDOT address changes and assist new vendors with set up in the SAP system.
  • Work with Division of Accounting to resolve payment or vendor issues/requests (returned checks credits Electronic Funds Transfer (EFT) set up).
  • Responsible for creating Velocity security badges and verifying that Velocity controllers for Section 9 are online. Notify the Regions Velocity Administrator of system issues to maintain a secure system.
  • Other duties as assigned.

Work Environment:

  • Your schedule will primarily be 8:00 am 5:00 pm work hours Monday-Friday with the opportunity for a flexible schedule.

  • Required to operate CDOT vehicles.

  • Travel required during work hours throughout Metro Denver and I-70 corridor.

Experience Only:

  • At least three (3) years of full-time work experience where the primary job duties include allof the following:

    • Working with computer software and applications (e.g. MS Excel SAP Google Applications).
    • Using software to track a large volume of data such as documents equipment financial or other.
    • Applying rules and procedures for the entry quality assurance analysis resolution of issues and reporting and manipulating data.
    • Providing on-going customer service in person on the phone and/or via email to internal and external customers.

OR

Education and Experience:
  • A combination of related education and/or relevant experience equal to three (3) years.
    • Completed college coursework in business administration accounting finance public administration data management math or another field of study closely related to the duties of this position will be considered.
    • Work experience where the primary job duties included all of the following will be considered.
      • Working with computer software and applications (e.g. MS Excel SAP Google Applications).
      • Using software to track a large volume of data such as documents equipment financial or other.
      • Applying rules and procedures for the entry quality assurance analysis resolution of issues and reporting and manipulating data.
      • Providing on-going customer service in person on the phone and/or via email to internal and external customers.
