Position Overview
We are seeking a detail-oriented and experienced Project Assistant & Document Controller with 810 years of professional experience in the aviation sector. The ideal candidate will have a strong background in project documentation coordination and compliance ensuring seamless management of project deliverables and workflows.
This role requires excellent organizational communication and multitasking skills to support project managers and multidisciplinary teams in delivering high-quality outputs while adhering to airport authority requirements and internal standards.
Roles & Responsibilities
- Manage project documentation including reports drawings correspondence contracts and submissions using established document control systems and versioning protocols.
- Maintain organized filing structures and ensure timely distribution of documents to project teams.
- Track approval workflows comments and revisions to maintain accurate records of document status.
- Support project managers with scheduling meeting coordination preparation of Minutes of Meetings (MoMs) progress reports presentations and project trackers.
- Assist in maintaining project timelines and ensuring deliverables are completed on schedule.
- Ensure compliance with airport authority requirements QA/QC procedures and internal document management standards across all disciplines.
- Monitor adherence to regulatory and procedural guidelines for documentation and submissions.
- Coordinate with multidisciplinary teams including airside landside MEPF (Mechanical Electrical Plumbing and Fire) planning and commercial teams.
- Collect inputs consolidate deliverables and manage submission deadlines effectively.
- Assist with procurement documentation Request for Information (RFI) logs change logs dashboards and other project-related records.
- Support project audits and ensure proper documentation for project close-out processes.
Qualifications :
- Diploma Graduate or Postgraduate degree in a relevant field.
- 810 years of professional experience with a mandatory focus on aviation sector projects.
- Proven expertise in document control systems and project coordination
Additional Information :
- Proficiency in document control software project management tools and MS Office Suite (Word Excel PowerPoint).
- Strong organizational skills with the ability to manage large volumes of documentation and track revisions accurately.
- Excellent verbal and written communication skills to liaise with project teams and stakeholders.
- Ability to address documentation and coordination challenges effectively.
