We are seeking a Board Operations Manager to support our Executive Director and serve as the operational backbone of the Board. This is a trusted role where a steady hand discretion sound judgment and strong attention to detail really matter. You will work closely with the Executive Director to coordinate the Boards daily operations and long-term priorities.
This is a highly visible position with regular interaction with legislators Board members government officials and the public ensuring that everyone is informed and supported. Youll draft and refine correspondence summaries and presentations and manage logistics such as meeting technology records expenses travel and compliance with state policies including the Open Public Meetings Act.
The role also involves navigating challenging interactions with professionalism and care including conversations with members of the public who may be frustrated or distressed. Youll need to bring professionalism discretion and calm judgment to every interaction. Priorities and deadlines will shift and needs will evolve so flexibility and adaptability are key. Duties
What youll work on
- Coordinating executive-level scheduling communications and organization related to the DCYF Oversight Board including meetings supporting the Boards strategic objectives and work activities.
- Providing technical support meeting logistics reimbursements accommodations and travel in accordance with the State Administrative and Accounting Manual.
- Identifying and securing meeting venues and equipment needs including room bookings technology setup tracking expenses and ensuring all logistical needs are met.
- Managing public comments producing agendas meeting minutes notes and action items with transparency and in accordance with the Open Public Meetings Act.
- Managing the Boards online presence including meeting announcements YouTube videos and special events in collaboration with the Governors Office WaTech and TVW.
- Developing and revising briefing materials correspondence presentations and reports.
- Attending occasional statewide site visits and documenting key findings from tours interviews and focus groups.
- Tracking legislative bill progress action items and ensuring the effective execution of Board decisions and initiatives.
- Serving as the Liaison for the Contracts Budget Your Washington and Office of Equity teams.
Qualifications
Required Qualifications:
- Demonstrated knowledge of planning and coordinating complex meetings schedules and operational priorities to support strategic executive- and board-level work.
- Strong written and verbal communication skills with experience interacting professionally and effectively with internal and external stakeholders on behalf of leadership.
- Acted as the primary point of contact for internal and external stakeholders effectively engaging diverse audiences with competing interests while demonstrating diplomacy sound judgment professionalism and discretion through a service-oriented approach.
- Proven ability to produce high-quality detail-oriented work while managing multiple priorities with accuracy; strong skills in tracking documenting and proactively following up on action items to ensure timely completion accountability and organizational effectiveness.
- Demonstrated ability to seek clarification elevate issues appropriately and identify solutions when challenges arise while handling sensitive and confidential information with discretion and sound judgment.
- Demonstrated proficiency with office productivity tools including Microsoft Office Suite (Word Excel PowerPoint Outlook) to support executive-level administrative functions including document preparation reporting and presentations.
- The ability to travel occasionally to attend site visits meetings or board-related activities as required by the position.

Desired Qualifications:
- Three to four yearsof progressively responsible experience in an executive administrative or office support role.

- Administrative Support Certifications(e.g. Certified Administrative Professional CAP).
