Job Summary

Red Ember Recruitment is recruiting for an Office Administrator for our client in the East of Johannesburg.

Requirements

Core Administrative Duties

  • Co-ordinate deliveries and collections
  • Quotations
  • Pipeliner Maintenance
  • Answering phones and emails and directing queries to the correct person.
  • Preparing documents such as letters reports memos and presentations.
  • Maintaining filing systems (electronic and physical).
  • Data entry and maintaining accurate records/databases.
  • Organising travel arrangements flights accommodation itineraries.
  • Greeting and assisting visitors / collecting clients and couriers at reception.
  • Handling documentation of incoming and creating new stock codes.
  • Managing office equipment (printers phones laptops etc.) and reporting issues.
  • Managing calendars scheduling meetings appointments and events.

Financial & Operational Support

  • Import shipment tracking
  • Creating purchase orders
  • Create packing list
  • Assisting with budget tracking
  • Maintaining petty cash and basic bookkeeping tasks.
  • Coordinating internal communication between factories.
  • Supporting their Accountants with on boarding documents leave records or training schedules.

General Office Coordination

  • Ensuring office cleanliness and organisation
  • Coordinating meetings agendas minutes catering and equipment setup.
  • Tracking deadlines and follow-ups for management.
  • Helping with company events or team-building activities.

Compliance & Document Control

  • Maintaining compliance records and ensuring documents are up to date.
  • Managing confidential information securely.
  • Updating company policies or manuals as directed.
  • Statutory requirements



Required Skills:
