To provide administrative and office support to the Executive Assistant to the Managing Director (MD) ensuring the smooth day-to-day functioning of the MDs office and related administrative processes.

Administrative & Office Support
- Provide general administrative assistance to the Executive Assistant and MDs office.
- Maintain orderly electronic and physical filing systems.
- Capture update and maintain records schedules or other related documents.
- Assist with document management scanning and archiving.
Diary & Meeting Coordination Support
- Assist with scheduling meetings appointments and internal engagements.
- Prepare meeting packs agendas and supporting documentation.
- Follow up on outstanding actions and deadlines on behalf of the Executive Assistant.
Communication & Liaison
- Liaise with internal departments and external stakeholders as required.
- Screen log and redirect emails calls and correspondence appropriately.
Basic Marketing & Internal Communication Support
- Assist with the preparation and distribution of internal notices and announcements.
- Upload and manage content on internal communication platforms (e.g. internal TV screens notice boards intranet or email communications).
- Coordinate updates messaging and visuals in line with guidance from Executive Assistant or marketing.
- Support internal campaigns events or initiatives from an administrative and coordination perspective.
Travel Support
- Assist with travel arrangements.
- Coordinate logistics for meetings events or functions linked to the MDs office.
Ad-hoc & Support Tasks
- Provide ad-hoc administrative and coordination support as required.
- Perform other reasonable administrative duties in support of the Executive Assistant and MDs office.
- Assist with prioritised tasks during busy operational periods.
Working conditions: Limited travel. Working after hours may be required.
Qualifications & Experience:
- Grade 12 / Matric - Required
- Relevant administrative office management or business-related qualification Required
- Minimum of 5 years experience in an administrative office support or clerical role - Required
- Exposure to a corporate or professional office environment - Required
- Experience with internal communication tools (e.g. email notices screens notice boards) - Advantageous
Skills & Knowledge Required:
- Microsoft Office:
- Microsoft Outlook (email and calendars)
- Microsoft Word
- Microsoft Excel (basic spreadsheets)
- Microsoft PowerPoint (basic formatting)
