GeneralSummary: The Rentals and Events Manager will driverevenue growth through sales coordination and execution of weddings social rentalsand large-scale events at the Zoo. This role actively fosters and managesclient relationships to optimize bookings deliver amazing guest experiencesand position the Zoo as a primary event destination.
The major responsibilityof the Manager is to oversee all planning from initial inquiry and contractnegotiation through on-site event management and post-event follow-up. Theyalso assist in managing a small team to ensure seamless operations consistentcommunication and outstanding service across all events. The Rentals andEvents Manager will serve as the on-site lead for clients vendors and Zoostaff to ensure that every event meets the Zoos standards of excellence. Additionallythe Rentals and Events Manager will support the Zoos broader mission to savewildlife and protect wild places and contribute to its environmental socialgovernance sustainability conservation education and DEAI (DiversityEquity Accessibility and Inclusion) goals.

EssentialFunctions:
PrimaryFunctions:
- Lead and manage the salesprocess for weddings social rentals and large-scale events includingresponding to inquiries conducting site tours preparing contracts andsecuring bookings to meet or exceed revenue goals.
- Build and maintain strongrelationships with clients vendors and community partners to drive repeatbusiness and positive referrals.
- Oversee the planningcoordination and execution of all rental and Zoo-hosted events ensuringexceptional guest experiences from contract signing through post-eventfollow-up.
- Perform event setup andbreakdown assist with onsite oversight and execution on event days includingguest check-in directional support volunteer deployment merchandise salesbeverage pouring etc.;
- Assist in managing andmentoring a small events team guiding client communication event executionand customer service best practices.
- Collaborate with themarketing team to promote event offerings increase wedding and rentalbookings and enhance the Zoos reputation as a premier event destination.
- Communicate with outsidecontractors regarding event setup details mail confirmation packages confirmand coordinate the arrival of vendors and sponsors for events monitor setupand ensure their needs are met throughout the event;
- Maintain accurate andorganized records contracts and client information in the CRM systemensuring timely invoicing and payment tracking.
- Respond to event-related inquiries assist guests withscheduling tickets send out confirmation emails and reschedule tickets asneeded;
- Responsible for digitizing and organizing past and currentdepartment files data entry for vendor information and CRM data entry anddatabase cleanup;
- Plan coordinate and attend off-site marketing events and streetteams to increase event ticket sales and foster awareness;
- Identifynew opportunities for revenue growth process improvements and enhanced clientsatisfaction across all event types.
- Assist in the developmentof partnerships with community organizations with the goal of both broadeningthe Zoos reach within the community and also making rentals and eventofferings diverse accessible equitable and inclusive;
- Create and sendpost-event reports and client follow-ups to assess event success gatherfeedback and identify opportunities for repeat business.
- Support theidentification and growth of on-site event assets and rental opportunities toenhance client experiences and generate additional revenue.
- Responsiblefor maintaining and organizing department supplies including linens andlaundry utensils and dishes glassware giveaways prizes etc.;
- Responsible for compiling agenda for weekly departmentmeetings;
- Responsible for review ofdepartment web pages every month;
- Assist with Ravens event days and sales on Ravens Walk;
- Provide administrativesupport to achieve department revenue goals;
- Use sound judgment andreport incidents to management or security as needed;
- Facilitate and supportevents for other Zoo departments including education and animal;
- Assist other departments as needed for cross-utilization ofskills and manpower;
- Workcollaboratively with other departments to create necessary event collateralsuch as posters banners and handbills for internal and external promotion ofthe Zoos events;
- Perform other duties asassigned; and
- Adhere to all policiesand procedures of the Zoo.
Communication(Internal and External):
- Responsible for meetingwith departments throughout the Zoo and coordinating their efforts in relationto development activities;
- Manage and update eventpages on the Zoos website; and
- Communicate with variousZoo managers on event days to ensure coordination of efforts;
Managementof Resources (Financial Human Resources Facilities):
- Responsible for Altrudata input data ownership and accuracy;
- Required to maintainconfidentiality of all collected personal and financial information;
- Collaborate with theVolunteer Department to assign volunteer roles for special events; and
- Fiduciaryresponsibilities include ticket sales cash handling selling inventory atfestivals and events verifying department invoices and approving purchaseorders as needed.
MinimumQualifications:
Education:
- Bachelors degreepreferred.
Experience/Training:
- Minimum one year ofdirect experience coordinating weddings social rentals and large-scaleevents; experience with client relations and vendor management preferred.
- Minimum of two years ofcustomer service experience required;
- Proficiency withMicrosoft Office software including Microsoft Outlook Excel and Wordrequired;
- Willingness to obtain andmaintain TIPS certification required;
- Possess a valid driverslicense; and
- Experience managing paidand volunteer staff.

- Must be able to exert upto 50 pounds of force to lift push pull carry or otherwise move objects.
- Exposure to potentialenvironmental hazards such as poison oak/ivy uneven terrain insectbites/stings and Hepatitis B depending on the position.
Equipment:
- Must be able to operate avariety of machines and equipment including computer telephone two-way radioscanner copier golf cart and vehicles.
