Job Summary

Summary:
We are seeking a detail-oriented and proactive Admin Assistant to join our dynamic team in Windhoek within the fast-paced automotive industry. This role is critical in ensuring the smooth daily operations of our facility by providing essential administrative and operational support. The ideal candidate will play a key role in maintaining efficient communication flows managing front-desk operations and supporting both management and frontline staff. With a strong focus on organization accuracy and customer service the Admin Assistant will contribute directly to enhancing workplace productivity and operational excellence. Responsibilities:
  • Manage switchboard operations including answering directing and routing incoming calls professionally and efficiently.
  • Provide real-time support to cashiers by assisting with transaction processing handling payments and maintaining accurate records.
  • Maintain organized filing systems (digital and physical) for all administrative and operational documents.
  • Ensure timely and accurate communication between departments including relaying messages scheduling appointments and coordinating logistics.
  • Monitor office supplies inventory and initiate reordering as needed to prevent disruptions.
  • Support daily administrative tasks such as data entry document preparation and report generation.
  • Identify and resolve minor operational issues promptly demonstrating strong problem-solving abilities.
  • Maintain a professional and welcoming front-desk presence representing the company with integrity and courtesy.
  • Assist in preparing reports presentations and other materials as required by management.
  • Stay current with company policies and procedures and demonstrate a willingness to learn and adapt to new systems and processes.

Requirements

Requirements:
  • 13 years of relevant administrative or operational support experience in a fast-paced environment.
  • Proficiency in switchboard operation and call management in a professional setting.
  • Proven ability to assist with cashiering tasks including handling cash processing payments and maintaining transaction accuracy.
  • Exceptional organizational skills with the ability to manage multiple tasks efficiently under pressure.
  • Strong attention to detail and commitment to accuracy in all administrative duties.
  • Excellent verbal and written communication skills with the ability to interact confidently with customers colleagues and management.
  • Effective time management and prioritization skills to meet deadlines and maintain workflow efficiency.
  • Demonstrated problem-solving abilities with a proactive approach to resolving issues.
  • Willingness to learn new systems processes and technologies.
  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and basic computer literacy.
