Job Summary: | The Department of Psychiatry and Behavioral Sciences at SUNY Downstate Health Sciences University is seeking a full-time Staff Associate / Financial Coordinator. The successful candidate will be responsible for the following: Financial Management Analysis & Reporting: - Manage and maintain all financial information and budget data for the department. Account and budget management include but are not limited to the college of Medicine University Hospital at Downstate Research Foundation University Physicians of Brooklyn and Health Sciences Center of Brooklyn Foundation.
- Collect analyze and interpret financial data related to departmental operations including clinical services private practice grants and educational programs.
- Prepare monthly quarterly and annual financial reports for departmental leadership.
- Monitor revenue streams expense trends and budget variances to identify opportunities for cost savings and revenue optimization.
- Maintain accurate book-keeping general ledger. accounts payable and receivables.
- Assist with tax preparation and filing.
- Manage various accounting charge capture and patient management systems.
Budgeting & Forecasting: - Support the preparation of annual divisional and multi-year budgets including financial projections cost analyses and expenditure tracking.
- Conduct regular variance analysis to monitor budget-to-actual performance and recommend corrective actions or process improvements.
- Collaborate with leadership to align financial planning with strategic goals.
- Support grant budgeting and post-award financial management in coordination with research administration.
- Collaborate with internal and external auditors to coordinate and prepare audit-ready documentation and reconcile financial data.
Operational Support: - Track and analyze productivity metrics billing data and reimbursement trends across inpatient outpatient and consultation-liaison services.
- Evaluate financial performance of academic and training programs including residency and fellowship funding.
- Support business planning for new initiatives such as inpatient psychiatry expansion or telepsychiatry services.
- Manage departmental financial systems.
Compliance & Data Integrity: - Ensure financial practices comply with institutional policies federal regulations and grant requirements.
- Ensure the integrity and accuracy of financial data across multiple systems improving efficiency in data collection reconciliation and reporting processes.
- Maintain accurate and secure financial databases and dashboards.
- Manage physician malpractice coverage.
Strategic Collaboration: - Partner with departmental leadership hospital finance and institutional planning teams to support decision-making.
- Liaise with internal and external departments and affiliate organizations to collect validate interpret and report financial and compliance-related data.
- Present findings and recommendations to stakeholders in clear actionable formats.

Required Qualifications: | - Bachelors Degree in Accounting Finance Business Analytics or related discipline.
- 1 year of financial or accounting experience.
- Strong analytical written and verbal communication skills.
- Or a satisfactory equivalent combination of experience education and training to the above.

Preferred Qualifications: | - Experience supporting academic clinical or practice financial operations.
- Experience with SUNY Research Foundation or New York State fiscal reporting systems.
- Familiarity with Oracle Power BI or Tableau for visualization and data integration.
