Job Summary

Under the guidance of the onsite Government management team the Administrative Assistant Level II serves as a clerical expert in independently processing the most complicated types of office actions. The Administrative Assistant Level II may be asked to evaluate and consolidate information from various sources under short deadlines such as internal or external survey information reporting on statistics (retention staffing Passport processing etc.). Guidance is provided as needed; however this person is expected to work independently in delivering tasks and reports as required by the Government management onsite. Completed written work receives close technical review from high-level Government employees. The Administrative Assistant II maintains confidential information (employee lists management contact info etc.).Essential Functions Responsibilities & Duties may include but are not limited to:Prepare written communications using a variety of office software specifically: MS Word MS Power Point MS Publisher MS Excel and SharePointAssist with new hire orientation for Government employeesAssist with travel arrangements using online Travel Manager System (E2). Coordinate logistics for Government travel: book tickets hotels rental vehicles estimate per diem and voucher travel upon returnProvide input into the Management Information System (MIS)With Government provided input use MIS to report current and future activitiesTrack and report official time and attendance records for all federal employees within the office through Time and Attendance Electronic System (TATEL)Track and verify Government employees award/recognition payments transit reimbursementsRespond to routine questions on policy and procedures and/or provide reports such as Contractor employee turnover or time and attendanceProcess employees for DS badges through the MDIS/DOS enrollment system PIN resets and unlockUtilize Federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel)Answer incoming calls (external and internal) to the office in a highly professional manner and forward calls take messages or resolve calls as warranted on an individual basisOrganize type collate and file sensitive materialMaintain the Directors calendar of upcoming events guest log appointments and other activitiesReview incoming documents and take appropriate action/distributionTrack and monitor the status of memoranda correspondence and taskersInform personnel of overdue items upcoming deadlines and format and Department procedures for processing documentationAssist with travel arrangements using online Travel Manager systemPrepare briefing materials and compile reportsProvide support to other projects or tasks as requiredReceive deliveries and arrange for pick-up of outgoing shipmentsBe responsible for stocking the photocopy and facsimile machines and supplies as well as maintaining their operational status and taking the requested readingsReceive and sort incoming/outgoing administrative mailMaintain constant awareness of all aspects of internal security including adherence to the restricted area policies logging off computer terminals when not in use and securing work at the end of the business dayAdmit and welcome visitors into facility and maintains visitor log-in filesProcess employees for DS badges through the MDIS/DOS enrollment system PIN resets and unlock badgesLiaise with building management to report and resolve maintenance issuesOperate office equipment including but not limited to document scanners telephones intercoms label printers and camerasAssist with ordering tracking receiving inventorying office supplies through various methods (GSA CA internal etc.)Requirements:Ability to adapt to changes in procedures and assignmentsAbility to establish working relationships at all organizational levelsHave expert knowledge and understanding of federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel)Ability to accurately manage taskers and assignmentsAbility to disseminate information and/or requests to all office personnel and compile responsesSecret clearance :HS diploma (2-year college degree preferred)Work Experience Knowledge Skills & Abilities:Four (4) years of experience as an Administrative Assistant in an office (2) years of experience supporting at an executive (5) years of experience utilizing a variety of office software specifically: MS Word MS Excel MS Power Point MS Publisher MS Excel and MS experience with document management preferably for a legal department or other ability to prioritize and organize simultaneous workflow Equal Employment Opportunity PolicyThe company is an equal opportunity employer.
