DescriptionAbout the Role
Were looking for a highly organized and proactive Operations Scheduler to join our team in Invercargill.
This is a key role in ensuring the seamless delivery of services by planning scheduling and coordinating work orders efficiently. Youll work closely with the TOC supervisors field crews subcontractors and internal stakeholders to meet contract KPIs and maintain accurate job and asset data.
A critical part of this role is ensuring that all costs are captured and claims for completed work orders are submitted daily while promptly identifying recording and escalating any variations to the Contractor Manager for timely resolution.
Key Responsibilities
- Plan seek approvals and electronically dispatch service requests and work orders to field crews and supervisors.
- Develop and maintain daily weekly and monthly job schedules in coordination with TOC.
- Monitor job progress and take action to meet response and completion times in line with KPIs.
- Coordinate permits TMPs CARs CCTV and other support services for field crews and subcontractors.
- Ensure all completed work orders are accurately costed and claimed daily.
- Identify record and escalate any variations or out-of-scope work for timely approval.
- Process and update work orders in Microsoft Dynamics (MSD) including costs materials actuals and asset documentation.
- Provide timely updates daily run sheets and reports on schedule adherence and resource utilization.
- Liaise with subcontractors for job allocation and manage invoices.
- Support emergency communications and maintain compliance with Zero Harm safety policies.
What Were Looking For
- Strong organizational and scheduling skills with attention to detail.
- Excellent communication and stakeholder management abilities.
- Proficiency in Microsoft Dynamics and scheduling tools.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience in job dispatching and subcontractor coordination
- Computer literacy and accurate data entry skills. (MS Office Suite
Advance skills preferred)
Qualifications & Experience
- Previous experience in operations scheduling or coordination in maintenance utilities or infrastructure sectors.
- Knowledge of traffic management protocols and safety compliance.
- Relevant qualifications or experience in civil utilities or three waters sectors are preferred but not mandatory.
