Job Description:

The Department of Psychiatry in the College of Medicine at the University of Florida is seeking an Accounting Specialist to support the departments financial operations. Reporting to the Finance Manager this position is responsible for fiscal oversight compliance monitoring and financial reporting with a particular focus on activities related to the UF Center for Autism and Neurodevelopments SB112 grant.

UF CAN HUB Proposals and Agreement Management: Works closely with staff to prepare Requests for Proposals Memorandums of Understanding and Intent to Negotiate agreements per the terms and requirements of the University of Florida. Once awards are issued manages purchase order requests and invoice processing. Prepares reports for each award and ensures payments meet the criteria as set by the State of Florida Legislature in SB112. Serves as custodian of the Research Participant Payment system and works closely with the micro-credential staff to ensure payments are completed timely and accurately.

Medication Consultation Hotline: Serves as official backup for managing the Florida Department of Children & Families Medication Consultation Hotline. Coordinates scheduled time off with the Administrative Assistant logs and follow-ups on requests as needed and prepares documentation for physicians as required.

Department Accounting Support: Assists with annual space reporting asset management and department reconciliations as needed. Serves as backup for financial spending and tracks internal awards. Assists with department distributions and audits all department Research Participant Payment funds to confirm compliance with UF policies and procedures.

Expected Salary:

$50000 to $60000

Minimum Qualifications:

A bachelors degree in an appropriate area of specialization and one year of appropriate experience or an equivalent combination of education and experience.

Preferred:

Financial Analysis & Budgeting: Ability to analyze budgets and financial reports to ensure proper allocation and use of funds.

Regulatory Compliance: Understanding of federal state and institutional regulations governing grant funding (e.g. Uniform Guidance Cost Accounting Standards).

Accounting Software Proficiency: Experience with financial systems such as myPayment Solutions Corcentric UFIRST myUFL or similar platforms.

Attention to Detail: Strong ability to track expenditures reconcile accounts and ensure accuracy in financial documentation.

Audit Preparation & Documentation: Skilled in maintaining records and preparing for internal or external audits related to funding.

Communication & Collaboration: Ability to work with program managers finance teams and external partners to coordinate disbursements and resolve issues.

Problem-Solving: Capable of identifying and resolving discrepancies or errors in grant-related financial transactions.

Advanced fiscal experience in higher education institution
Advanced ability to use Excel spreadsheets PeopleSoft and Microsoft Word
Knowledge of financial/accounting principles practices and procedures

About the University of Florida (UF) Department of Psychiatry

The Department of Psychiatry at the University of Florida are engaged in groundbreaking projects covering a variety of interests through our Centers labs and collaborations with other departments. The Department of Psychiatry includes a large outpatient center with various specialty clinics within (including one associated with our Center for Autism and Neurodevelopment) a very active inpatient service psychiatry collaborative program for primary care practitioners school consultation program and community consultation services. The Department of Psychiatry spans services across adult addiction and child/adolescent specializations including a freestanding psychiatric hospital a large consult liaison service at the main UF Shands Hospital the Florida Recovery Center operated by our Addiction Division and multiple research centers including the Center for Addiction Research & Education and the Center for OCD and Related Disorders (COARD).
