Job Title: Personal Assistant (PA) to the Managing Director
Reports To: Managing Director (MD)
Location: Elimn Headquarters Garden Estate Nairobi Kenya
Remuneration: Kshs.
ROLE PURPOSE
The Personal Assistant exists to multiply the Managing Directors effectiveness by controlling priorities enforcing execution filtering noise and safeguarding confidential and strategic matters across multiple operating businesses and new ventures.
This is not an administrative role.
This is an execution and control role.
CORE RESPONSIBILITIES
1. Execution Coordinator
Track and drive execution of tasks decisions and commitments arising from meetings calls messages and ad-hoc instructions.
Maintain a live action tracker and ensure nothing stalls or disappears.
Coordinate across workshops developers vendors marketing and external partners.
2. Priority Enforcer
Actively manage the Managing Directors calendar and daily focus.
Challenge low-value meetings interruptions and distractions.
Ensure attention is directed to revenue-critical system-critical and time-sensitive priorities.
3. Follow-Up Assassin
Relentlessly follow up on agreed actions until completion.
Escalate delays early with context and options not excuses.
Hold internal teams and third parties accountable without ego or emotion.
4. Noise Filter
Screen emails calls WhatsApp messages and requests.
Summarize issues clearly and present only what requires the Managing Directors input.
Draft responses and communications for approval where appropriate.
5. Confidential Gatekeeper
Handle sensitive legal financial personnel and strategic information with absolute discretion.
Control access to the Managing Director and to confidential information.
Ensure documents conversations and data are handled securely and professionally.
Professional Capability
Strong written and verbal English.
High judgment maturity and emotional intelligence.
Calm under pressure; firm without being confrontational.
Comfortable pushing back respectfully on behalf of the Managing Director.
Technical & Tools
Strong proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint).
Confident with calendars email management task trackers and document organisation.
Comfortable working across WhatsApp email and cloud-based tools.

EXPERIENCE PROFILE (GUIDELINE)
Prior experience supporting a senior executive founder or managing director preferred.
Exposure to operations legal finance consulting or multi-business environments is a strong advantage.

Success in this role is measured by:
Reduced chaos and interruptions reaching the Managing Director.
Clear follow-through and closure on decisions and tasks.
Improved time discipline execution speed and focus at the MD level.
IMPORTANT NOTE
This role requires trust judgment and discipline.
It is best suited for someone who wants to operate at the center of decision-making not someone looking for routine administrative work.
Required Skills:
Strong communication and customer service skills (in-person phone WhatsApp). Ability to record customer visits and inquiries accurately in Zoho CRM (or willing to learn quickly). Organized proactive and able to multitask in a busy front-desk environment. Comfortable handling customer follow-ups feedback collection and basic complaint escalation. Basic computer skills (Excel/Google Sheets); CRM experience is an added advantage. Must be available for on-site internship and able to meet timelines consistently. Must be living within or near Zimmerman Roysambu or Gumba.
