The Executive Assistantsupport a senior film executive within Sony PicturesMotion Picture Groupand willbe responsible fora full range of administrative supportincluding:answering phonesmaintainingcalendars filing meeting coordination travel arrangements handling correspondence expense reports and generalsenior leveloffice duties.
Responsibilities
Manages executives calendar; schedules/coordinates meetings; handles any meeting preparation
Screens and responds to incoming calls andfollows up on outgoing calls
Prepare documentsresearchand presentations for high-level meetings
Drafts correspondence for executive (emails agendas meeting minutes letters memos script notesetc)
Handles feedback both constructive and critical with openness and a growth mindset.
Remains calmcomposedand solution-oriented in demanding or high-stress circumstances.
Able tomaintainclarity and focus eveninsituations involving ambiguity or competing priorities.
Processes andtracksbilling expense reports etc.
Disperseexecutivedocumentsas well ascreating andmaintainingfiles (electronic and hard copy)
Book complex travel both domestic and international; experience with private charters and visa regulationshelpful
Assistwith event planning for executive
Serve as liaison for executives various boardsand charities
Ensureoffice proceduresrunsmoothlyefficientlyand effectively
Other general administrative duties (processing mail copyinggiftingetc.)

Qualifications
A minimum of 5 yearsasexecutive assistant on a senior level deskin thefilmindustry;ideally in the development / production space
Strongly prefer a candidate who has worked at a talent agency
Expert in MS PowerPoint WordExcelandOutlookas well as Adobe Acrobat
Exceptional organizational and interpersonal skills
Must be able to multi-task and prioritize to ensure all assignments are completed inan accurateandtimelymanner
Must be flexible an ability to work well in an environment where needs and priorities are subject tomuchrevision
Common sense dependabilityloyaltydiscretionresourcefulmaturityand attention to detail are
Excellent communication skills written and oral (must have a professional and courteous demeanor)
Knowledge of talent and filmmakers in the entertainment industry
