Job Summary

Job Title: Human Resources Assistant

Location: REMOTE
Department: Human Resources
Reports To: HR Manager / HR Director

Job Overview:

The Human Resources Assistant will provide administrative support to the HR department by assisting with recruitment onboarding employee records management benefits administration and other HR-related tasks. This role requires attention to detail excellent organizational skills and a strong understanding of HR best practices.

Key Responsibilities:

  • Recruitment and Hiring Support:

    • Post job openings on various platforms.

    • Screen resumes and applications.

    • Schedule and coordinate interviews for hiring managers.

    • Assist in conducting initial phone screens for candidates.

    • Prepare job offers and employment contracts.

  • Onboarding and Employee Orientation:

    • Facilitate the onboarding process for new employees.

    • Provide new hires with necessary documentation and company policies.

    • Organize new employee orientation sessions and ensure all forms are completed.

    • Assist with setting up employee IT accounts workstations and other onboarding needs.

  • Employee Records Management:

    • Maintain accurate and confidential employee records ensuring compliance with privacy laws.

    • Track employee information such as attendance leave records and performance reviews.

    • Update HR databases and ensure the proper filing of documents.

  • Benefits Administration:

    • Assist employees with benefits enrollment and questions regarding health insurance retirement plans and other benefits.

    • Maintain benefits files and ensure that all changes are properly recorded.

    • Support annual benefits enrollment and open enrollment periods.

  • Payroll Support:

    • Assist in collecting and reviewing employee timecards or attendance data for payroll processing.

    • Ensure accuracy of payroll-related data before submission.

    • Help resolve payroll discrepancies or questions from employees.

  • Employee Relations:

    • Assist with the implementation of employee recognition programs and events.

    • Serve as a point of contact for employee inquiries regarding HR policies or procedures.

    • Maintain a positive welcoming environment in the office.

  • Compliance and Reporting:

    • Help ensure compliance with federal state and local employment laws and regulations.

    • Assist in preparing reports for HR audits labor law compliance and other necessary documentation.

  • Other Administrative Tasks:

    • Prepare and send internal communications (e.g. memos announcements).

    • Coordinate training sessions and employee development programs.

    • Provide general administrative support to the HR team as needed.

Qualifications:

  • Education:

    • High school diploma or equivalent required.

    • Associates or Bachelors degree in Human Resources Business Administration or related field preferred.

  • Experience:

    • 1-2 years of experience in an administrative or HR-related role is a plus.

    • Familiarity with HR software and systems is preferred.

    • Strong communication and interpersonal skills.

  • Skills:

    • Excellent organizational skills with the ability to manage multiple tasks simultaneously.

    • Proficient in Microsoft Office Suite (Word Excel PowerPoint etc.).

    • Ability to handle confidential and sensitive information with discretion.

    • Strong attention to detail and problem-solving abilities.

Work Environment:

  • Office setting with standard business hours.

  • Ability to work remotely or hybrid may be considered depending on the companys policies.
