THE ORGANISATION

As Australias peak national organisation for the community HIV and LGBTIQA health response Health Equity Matters supports member organisations working with lesbian gay bisexual transgender and intersex communities people living with HIV sex workers people who use drugs and Aboriginal and Torres Strait Islander communities. Through advocacy policy and health promotion it leads Australias effort to end HIV transmission and promote the health of its communities.

In the Asia Pacific region Health Equity Matters uses the same strengths to promote effective policy strengthen local community leadership and support communities in their work in HIV health and human rights.

ABOUT THIS ROLE

We are seeking a highly organised and proactive Senior Administrative Officer to join our team. This role is pivotal in ensuring the smooth operation of administrative functions and providing high-level support to senior management. You will manage complex tasks coordinate processes and contribute to the efficiency and effectiveness of our corporate services.

The role also involves supporting with all aspects of Human Resources including but not limited to recruitment employee onboarding performance management WHS procedures updating HRIS systems and administering an effective compliance program in line with regulatory obligations and Health Equity Matters policies.

KEY RESPONSIBILITIES

The Senior Administrative Officer will be responsible for:

  • Support the full recruitment process including assistance in production of position descriptions and job advertisements posting of job ads collating and reviewing applications pre-screening and scheduling of interviews
  • Manage the onboarding & offboarding process including drafting of contracts and terminations pre-employment checks organisation of office/IT equipment and welcome induction
  • Maintain personnel records & documentation to adhere to policies and compliance processes.
  • Undertaking of Work Health & Safety (WHS) administration management and reporting
  • Ensure all necessary compliance processes are conducted documented and appropriately filed for Health Equity Matters Personnel
  • Provide general administrative support to the Principal Director Corporate Services.
  • Manage and coordinate all travel requirements including flights & accommodation meetings and training & development courses

Selection Criteria

  • High level of organisational and coordination skills and the ability to meet deadlines without compromising accuracy
  • Excellent written & verbal communication skills
  • Ability to explain the compliance aspects of key Health Equity Matters policies and procedures and work effectively and with influence with Health Equity Matters personnel.
  • Minimum 4 years business HR or administration support experience
  • Excellent attention to detail and organisational skills with a methodical approach to managing concurrent priorities and meeting deadlines.
  • Demonstrated successful use of HRIS systems
  • Right to work in Australia
