Job Summary
The Sales Support Executive provides administrative coordination and customer service support to the sales team to ensure smooth daily operations timely order processing and accurate communication with pharmacies distributors doctors and hospitals. This role assists in documentation data entry customer follow-up and preparation of marketing and sales materials.
Main Responsibilities:
Sales Coordination & Customer Support
- Coordinate customer inquiries and provide product or order information.
- Follow up with pharmacies and clinics for purchase orders stock availability and delivery confirmation.
- Maintain customer database contact lists and monthly sales activity records.
- Answer calls inbox messages and support digital communication channels.
- Prepare quotations proforma invoice and follow-up purchase requests.
- Coordinate with warehouse/logistics for stock release delivery schedule and payment documentation.
- Record and file sales contracts agreements and customer forms.
- Order Processing & Documentation
- Provide administrative support for sales representatives and medical reps.
- Prepare product brochures samples banners and training materials.
- Assist in arranging appointments meetings training and product presentations.
- Track sales tools and ensure stock availability for field team.
Reporting & Data Management
- Compile daily weekly monthly sales reports.
- Monitor stock levels and notify team about fast-moving / out-of-stock items.
- Collect customer feedback related to product service and pricing.
Event & Marketing Coordination
- Support events: workshops CME conference and pharmacy promotions.
- Assist in registration participant check-in and product display setup.
- Help in coordinating KOL speaker and participant attendance lists.
Main Requirements:
- Positive service attitude and willingness to learn.
- Bachelors degree in Business Marketing Accounting Administration or related field.
- Fresh graduates accepted; experience in sales support or customer service is a plus.
- Basic knowledge of pharmaceutical/medical terms is an advantage.
- Good communication polite customer service behavior teamwork spirit.
- Well-organized detail-oriented and accurate with documentation.
- Ability to handle phone chat and customer communication professionally.
- Basic Microsoft Excel Word Google Sheet and reporting skills.
