About the Role
As our Organisational Support Lead youll:
- Be the go-to person for all things coordination tech office admin internal systems quality management and everything in between.
- Youll keep everything running smoothly across our financial operations from managing payroll and owning data entry to reconciling donations processing cheques and keeping donor data squeaky clean. Youll also support the Leadership Team with clear accurate reporting that keeps everyone informed.
- Manage the logistical planning and execution of events from fundraising campaigns and community celebrations to our signature Purple Supper and beyond.
- Help us deliver an exceptional internal and external supporter experience by being an excellent communicator and the first port of call for our community and suppliers.
- Ensure were running a tight ship when it comes to quality safety governance audits reporting and accreditations.
- Be our HR subject matter expert youll guide the full recruitment journey from supporting recruitment through to onboarding while ensuring all HR policies compliance requirements procedures legislation and awards are met. Youll also work closely with the Leadership Team to provide HR support.
- Be the calm practical voice if things get hectic juggling the details and keeping the team on track.
- Provide support to our CEO and Leadership Team helping us stay focused efficient and ahead of the game.
This role touches every corner of our organisation so youll need to be confident building relationships prioritising well and communicating with clarity and empathy.
A Great Week Might Look Like
- Ensuring our office is coordinated efficient and all administrative activities are seamless.
- Jumping in to support the Commercial Team with event logistics and admin -finalising run sheets booking venues and coordinating volunteers for a community event.
- Supporting the Client Services team by making sure they have the resources to deliver consistent high-quality services to our community.
- Liaising with our IT provider to resolve a tech issue and identifying ways to help us improve our ways of working.
- Executing payroll and reconciling donations and gifts.
- Conduct a compliance check which you do on a regular basis to ensure that we are always audit ready ensuring our registers and quality management processes are always up to date and audit ready.
- Supporting the CEO Leadership Team and Board with governance reporting and general leadership support.
- High-fiving a colleague after a big week knowing you made it all happen behind the scenes.
About You
Youre a natural organiser with a heart for purpose. You love creating clarity out of complexity using integrated systems that make life easier and delivering experiences that make people feel valued.
Youll need:
- A proven background in organisational support or office management
- Confidence with event coordination (you love a detailed run sheet!)
- Strong HR knowledge and systems experience (or a willingness to grow into it)
- A meticulous approach to managing data documentation and processes to ensure compliance and quality
- Skilled at overseeing multiple systems and registers (risk quality etc.) and maintaining organisation-wide compliance with policies and procedures
- Capability to manage multiple systems registers (eg risk quality) and ensure adherence to all policies and procedures across the organisation
- Experience with supporting reporting and audit processes
- Solid tech skills (Microsoft Suite Dynamics 365 or alternative CRMs and the ability to troubleshoot)
- A calm proactive approach under pressure
- Excellent communication skills written verbal and interpersonal
- A deep respect for confidentiality and professionalism
- Flexibility to be available for occasional out-of-hours events or early starts/late finishes
