The Enrollment Services Associate provides exceptional student-centered customer service grounded in an equity-focused mindset to all Clover Park Technical College students faculty staff and visitors. This role supports the Colleges mission of Educating Tomorrows Workforce by assisting students with program enrollment schedule adjustments and the evaluation of transcripts and other placement measures to determine entrance eligibility. The successful candidate will also respond to inquiries via phone email in-person and other approved communication channels ensuring all interactions align with CPTCs policies and procedures related to Enrollment Services.

Duty: Perform admissions enrollment transcript verifications and department processes.
Tasks include:
Process admission applications to include fraudulent reviews and research.
Process enrollment transactions.
Process transcript requests.
Process enrollment and degree verifications.
Assist with quarterly registration processes.
Answer inquiries in various modalities regarding admission registration and other department and college services and processes.
Perform basic functions of credentials/awarding requirements and processes i.e. review and setting placement scores using multiple measures assist in printing/mailing of awards etc.
Enter student data into college student management system (PeopleSoft) and review transactions for accuracy.
Troubleshoot transactional processing errors in the student management system (PeopfleSoft) i.e. unable to register account holds etc.
Provide excellent customer service and follow CPTC C.A.R.E.S.
Duty: Provide information to support student college needs and services.
Tasks include:
Learn and maintain a working knowledge of college and website services resources and tools to assist students i.e. how to obtain required forms tutoring services funding options offered at CPTC emergency grants childcare transportation explaining processes and procedures etc.
Learn and maintain a working knowledge of CPTC programs program entry requirements course requisites and program maps/education plans.
Maintain knowledge of FERPA (Family Education Rights & Privacy Act).
Maintain knowledge of college policies and federal/state rules and laws related to department services. Provide basic information regarding residency tuition waivers general petition and other department review and determination processes.
Duty: Systems audits and ctcLink (PeopleSoft) requirements.
Tasks include:
Perform regular daily system audits related to student admission and enrollment.
Participate in training and continuous learning to remain up to date with PeopleSoft functionality to include ways to improve current processes and procedures as related to department services.
Assist in regular system data clean-ups and corrections
Duty: Assist in department and/or divisional engagement/retention efforts and other activities/projects. Tasks include:
Participate and assist in admissions and registration events i.e. open lab registration group registration training etc.
Participate and assist in department information sessions events Q&As etc.
Participate and assist in the development and implementation of engagement retention/completion efforts and EDI initiatives.
Participate and assist in the development and implementation of departmental and divisional goals activities and projects.
Duty: Professional Development and Department Needs
Tasks include:
Participate in training as scheduled
Participate in EDI professional development
Attend conferences as funding allows and as requested by supervisor.
Serve on campus committees as assigned.
Duty: Other Duties as assigned
Tasks include
Filing of student records.
Actively contribute to the colleges strategic plan the enrollment management plan and the EDI strategic plan.
Assist in the quarterly drop for non-payment process as needed.
Archive student records as needed.
