We are seeking an experienced and proactive Office Manager & Executive Assistant to ensure the seamless operation of our Singapore office and provide high-level support to the leadership team. This role combines hands-on operational management with trusted executive partnershipideal for someone who thrives on variety responsibility and collaboration.

We are looking for someone who will:

  • Have clear communication proactive follow-up and high attention to detail.
  • Have a consistent standard of professionalism across SEA operations.
  • Take leadership in problem solving and process improvement.
  • Be a reliable partner and a collaborative presence who helps others succeed by keeping operations running smoothly.

Responsibilities include:

Office Management

  • Oversee day-to-day office operations to ensure a smooth and efficient working environment.
  • Greet and host visitors with professionalism and warmth.
  • Manage calls mail courier services and general inquiries.
  • Maintain and replenish office supplies stationery business cards and pantry items.
  • Ensure meeting rooms office areas and shared spaces are organized and maintained to high standards.
  • Keep centralized tools up to date (e.g. email lists birthdays seating plans).
  • Liaise with building management for maintenance facilities and safety matters.
  • Coordinate logistics for meetings office events and team gatherings.

Executive Assistant Support

  • Provide proactive administrative and scheduling support to the Deputy Head of Office and leadership team.
  • Manage complex calendars coordinate internal and external meetings and anticipate scheduling needs.
  • Manage travel arrangements itineraries and expense reimbursements for Deputy Head of Office.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Serve as a liaison between the leadership team and internal/ external stakeholders.
  • Anticipate executive needs helping to streamline communication and workflow across teams.

People Experience

  • Partner with the People Experience team to onboard new hires (workspace setup IT readiness business cards office orientation etc.).
  • Support team engagement initiatives and events to foster a positive and inclusive workplace.

Requirements

  • Diploma or higher qualification.
  • 5 - 8 years experience in office management and executive support ideally within professional services or consulting.
  • Exceptional organizational skills and attention to detail with a proactive and solutions-oriented mindset.
  • Strong interpersonal and communication skills at all levels.
  • Tech-savvy and comfortable managing multiple priorities.
  • High integrity and discretion in handling confidential matters.
  • Strong customer service ethic and willing to jump into any role to support the efficient running of the Singapore office.
  • Advanced proficiency in Microsoft Office Suite (Word PowerPoint Excel Outlook).
  • Singapore Citizens and PRs are welcome.
