Responsibilities - Events
Event Planning & Logistics (SEA Offices)


Drive the administrative and logistical planning for Client events across SEA ensuring smooth coordination from kickoff to wrap-up.
Create detailed run sheets timelines checklists and documentation that empower local teams to execute flawlessly.
Manage procurement tasks such as raising POs coordinating with vendors tracking deliveries and maintaining inventory of event supplies.
Oversee the preparation and distribution of event kits signage swag and materials needed for regional experiences.
Track budgets reconcile invoices and ensure financial processes follow Client and regional compliance requirements.


Quality Craft & Collaboration
Partner with SEA Workplace Lead to gather event requirements understand cultural nuances and ensure every experience reflects Clients values and standards.
Communicate clearly proactively and contextually with cross-functional partners keeping everyone aligned and unblocked.
Build strong relationships with vendors and internal teams ensuring the quality reliability and player-focused mindset.
Operational Excellence & Continuous Improvement
Identify opportunities to streamline event processes improve tools or refine how we collaborate across SEA.
Develop templates playbooks SOPs and best-practice guides that scale with Clients growth.
Ensure all processes uphold Clients standards for compliance safety and operational integrity.


Responsibilities - Administrative Support for KLO (for SEA offices excluding Singapore)
In addition to event coordination theyll play a key role in supporting day-to-day workplace operations across our SEA offices. Theyll partner closely with SEA Workplace Lead local office leads and champions and vendors to maintain a safe functional and Client-quality work environment ensuring every employee has what they need to do their best work.


Workplace Coordination & Daily Operations
Maintain operational excellence across SEA offices by monitoring day-to-day workplace activities and ensuring smooth functioning of facilities and common areas.
Serve as one of the primary coordination points for workplace matters helping local teams stay aligned and informed.
Support Moves Adds and Changes (MAC) in office layouts including floor plan updates and cross-team coordination.


Vendor & Facility Management
Act as a core point of contact for all facility-related issues including cleaning maintenance security and building access.
Manage vendor relationships and scheduling for routine maintenance repairs and facility services across SEA offices.
Oversee vendor performance and assist in contract renewals tracking contract expirations and sourcing new vendors when needed.
Maintain accurate inventories of office supplies pantry items and equipment ensuring timely replenishment and follow-ups with vendors.
Manage vendors supporting daily employee experience needs snacks beverages office supplies equipment upkeep and pantry services.


Budget & Procurement Support
Plan office supply expenditures within allocated budgets and support procurement workflows for workplace operations.
Assist with budget tracking vendor quotes and cost evaluations to ensure responsible spending.


Employee & Visitor Experience
Help foster a fun safe clean and welcoming environment that reflects Clients culture and supports productivity.
Support the planning and coordination of SEA internal events and activities that build engagement and community.
Assist local teams with visitor management including lobby coordination and helping guests reach the correct meeting hosts.
Handle workplace and facility enquiries feedback and service requests routing them to the appropriate teams and ensuring timely resolution.
Support mailroom operations receiving sorting and coordinating postal and courier services.
Perform general administrative duties as needed to support smooth workplace operations including coordinating services with landlords and vendors.
Compliance & Operational Support
Assist with PSEC-related responsibilities and ensure workplace processes follow Client standards and building requirements.
Maintain documentation checklists and operational records to support consistent scalable KLO operations across SEA.
