About the Role

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and secretariat support to the Dean of the College of Engineering. This pivotal role ensures the smooth execution of initiatives events and day-to-day operations within the Deans Office.

As a trusted partner to the Dean you will manage a wide range of responsibilities including scheduling documentation reporting and event coordination. You will handle sensitive information with discretion facilitate decision-making processes and lead or support college-level programs that shape the future of engineering education and research.

Key Responsibilities

  • Manage the Deans calendar travel arrangements and claims ensuring seamless scheduling and prioritisation.

  • Oversee the Deans role-based email account and manage communication flow.

  • Establish and implement processes to ensure accuracy and compliance in endorsement and approval workflows submitted to the Dean.

  • Lead and coordinate logistics for college-related events such as Advisory Board visits and Town Halls.

  • Collaborate across administrative teams to maintain a strong support network for efficient task execution.

  • Execute core administrative related to faculty matters information management and stakeholder reporting with confidentiality and precision.

  • Support data collation and analysis from internal and external stakeholders to aid the Deans decision-making.

  • Undertake ad-hoc projects and initiatives as assigned by the Deans Office.

  • Help manage the administrative activities.

  • Degree qualification or equivalent.

  • Exceptional planning organizational time management and problem-solving skills.

  • Strong interpersonal skills and emotional intelligence.

  • Excellent written and verbal communication abilities.

  • IT proficiency particularly in Microsoft Office applications.

  • Ability to adapt and thrive in a fast-changing environment.
