The Role: Sales Executive Assistant
Imagine being the central hub of a growing sales operation while the team builds relationships in the field youre the steady force behind the scenes. You keep every call note task follow-up and pipeline stage in HubSpot accurate and moving forward creating clarity rather than just completing CRM tasks. When updates slip you catch them. When the Chief Growth Officer needs real-time support you deliver sharp actionable data. You review call recordings surface insights that strengthen performance and turn activity into understanding trends into opportunitiesnumbers into meaningful stories that guide decisions.
Each day youll track KPIs that reflect the health of the pipeline build dashboards that keep leadership informed and uncover insights through manual review and AI tools. Beyond data youll manage expenses and incentives support communication between leadership and the sales team prepare materials coordinate marketing supplies and assist with territory alignment and event planning. And when urgent messages come in after hours youll keep momentum moving. What Your Days Might Look Like:
CRM & Sales Activity Oversight
Monitor HubSpot activity for each sales representative to ensure call logs notes follow-ups and pipeline updates are accurate and current.
Serve as real-time support for the Chief Growth Officer while they are in the field by tracking CRM gaps progress or areas needing attention.
Review sales call recordings in RingCentral and summarize insights for coaching and performance review.
KPI Tracking & Reporting
Compile daily weekly and monthly performance metrics including meetings referral visits conversion pipeline and outreach activities.
Build and maintain reporting dashboards in HubSpot Excel and Google Sheets.
Identify trends inconsistencies and performance opportunities using both manual review and AI insight tools.
Commission Incentive & Expense Coordination
Manage expense submissions using Float and coordinate approval workflow with Finance.
Process incentive and commission calculations through WellSky including routine accuracy checks and scheduled reporting.
Internal Communication & Support
Support communication flow between leadership and the sales team by maintaining shared updates reporting cycles and documentation.
Assist in preparing care plans presentations and meeting notes for leadership review.
Coordinate marketing material orders in Vistaprint and maintain field supply inventory.
General Administrative Support
Assist with alignment of territory strategy event planning outreach coordination and campaign support.
Provide occasional after-hours coverage for inbound sales inquiries or urgent messages.
Who We Think Will Thrive in This Role:
You have experience in sales operations CRM oversight or administrative support (healthcare experience a plus).
Youre highly organized and skilled at keeping data notes and workflows clean and current.
You communicate clearly and professionally especially when coordinating between leadership and field teams.
Youre comfortable using tools like HubSpot Excel Google Sheets and RingCentral.
You can spot gaps trends and opportunities simply by reviewing patterns in sales activity.
You enjoy examining data call recordings and pipelines to ensure accuracy and continuous improvement.
You manage expenses incentives and workflow processes with precision and consistency.
You thrive in a remote environment where your reliability and proactive approach truly matter.
You adapt easily stay calm under pressure and enjoy juggling multiple priorities with confidence.
You are willing to work in a US time zone schedule.
