SUMMARY

Under the direction of the Executive Administrative Assistant this position will be responsible for clerical/reception duties as assigned. Secretarial duties may also be included; such tasks as assisting site secretaries with job duties while covering for approved absences.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Provides reception or clerical services as assigned such as answering Agency telephones making reminder calls assist with the check-in/check-out and scheduling of appointments for individuals served and assist visitors. Provides direction for visitors. May assist other secretarial staff with clerical job duties during approved absences.
  • Participates in in-service training sessions and other staff development activities as directed.
  • Demonstrates understanding of and compliance with Agency and program policies and procedures.
  • Responsible for knowing and understanding building opening and closing procedures.
  • Participates in committees and work teams as requested or assigned.
  • Perform other duties as assigned.

QUALIFICATIONS REQUIREMENTS:

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); and two or more years of related experience and/or training; or equivalent combination of education and experience. Candidate must have excellent computer skills including a working knowledge of Word Excel and Windows. A typing speed of 40 wpm is preferred. The ability to exercise discretion customer service and independent judgment is required.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules operation and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS:

Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Valid Driver License

Ability to use basic office machines. Ability to exercise discretion and independent judgment. A commitment to safeguard recipients rights. Ability to organize time and prioritize tasks.
