Job Summary

Position : Executive Assistant

Work Hours (Client) : Monday to Friday 8am - 4pm EST

Pay Range : $1000 - $2000 USD/month(varies based on skill set and experience level)

Location of Search : South Africa Philippines or LATAM

Work Location : REMOTE

Beyond his advisory business the client manages a growing real estate portfolio of more than 40 properties and several other ventures. As his professional and personal world continues to expand hes looking for a world-class Executive Assistant who can help him operate with precision focus and flow.

This is an opportunity to work side-by-side with a founder who values initiative strategic thinking and continuous growth.

Role Overview:

Youll be the strategic right hand to the CEO. You will be managing his time communication operations and systems so he can focus on what matters most.

This isnt a typical assistant role. Youll be deeply involved in the day-to-day rhythm of a high-performing entrepreneur helping him run multiple businesses manage client relationships stay on top of finances and keep his household organized all while leveraging the best of AI and automation tools to streamline everything.

Duties and Responsibilities:

Executive & Administrative Support

  • Manage the CEOs calendar priorities and meetings
  • Organize and handle email correspondence
  • Prepare documents presentations and reports as needed
  • Maintain organized digital files and systems to ensure quick access to key information
  • Track and follow up on tasks and projects keeping everything moving forward

Financial & Operational Support

  • Support bookkeeping invoicing and expense management
  • Maintain accurate records in QuickBooks and assist with client bookkeeping as needed
  • Prepare reports financial summaries and other documentation

Client & Business Coordination

  • Help manage communication cycles with the CEOs fractional CFO clients from onboarding to ongoing check-ins
  • Track deliverables follow-ups and client touchpoints to deliver a premium client experience
  • Manage Andrews CRM Go High Level platform to organize leads automate workflows and monitor client activity

Personal & Family Organization

  • Coordinate scheduling and logistics for founder family including school and activity calendars
  • Plan travel from research to booking to itinerary organization
  • Ad hoc tasks such as supporting household systems and coordinations

Tech Systems & AI

  • Use and maintain tools like ChatGPT Notion ClickUp and Google Workspace to build efficient workflows
  • Research and implement new technologies or process improvements to make operations even smoother

Minimum Requirements:

Language requirement: Excellent English Communication Skills

Experience: 3 years of related experience

  • 3 years of experience as an Executive Assistant Operations Manager or similar strategic support role
  • Excellent written and verbal communication in English
  • Tech-savvy and quick to learn new tools (AI and automation experience a plus)
  • Proficient with Google Workspace Microsoft Office QuickBooks and ideally Go High Level CRM (or similar platforms like HubSpot or ActiveCampaign)
  • Highly organized detail-oriented and calm under pressure
  • Background in finance accounting or real estate preferred
  • A proactive resourceful mindset you anticipate needs before theyre asked
