Administrative Assistant

Investigative Unit

Permanent Full-time In-Person


The Opportunity:
Join the Washington Medical Commission (Commission) and help advance patient safety and professional integrity across Washington State. This position provides administrative support to the Investigative Unit Director and plays a key role in the units daily operations. Youll assist with correspondence coordinate meetings support personnel processes and ensure quality assurance and process improvement efforts run smoothly.


Key Responsibilities:

  • Provide quality assurance identify process improvements and recommend updates to investigative procedures.
  • Generate and analyze reports in ILRS/HELMS to support performance monitoring and case management.
  • Assist with recruitment activities including candidate materials scheduling and onboarding.
  • Maintain and update process maps business practices and documentation for the Investigative Unit.
  • Manage procurement payment processing and compliance with related policies.
  • Coordinate meetings teleconferences and training sessions; prepare agendas and take meeting notes.
  • Develop spreadsheets track budget data and prepare administrative reports.
  • Support large-scale and independent special projects for the Commission as assigned.

Join our Tumwater WA team in an on-site role! This fast-paced position offers daily variety meaningful interaction both internally and externally and opportunities to support important work while managing multiple priorities.


REQUIRED QUALIFICATIONS

Three (3) or more years of experience in an office/clerical secretarial or general administrative environment using office organization methods/practices for performing complex clerical and administrative tasks.


Additional Required Knowledge Skills Abilities and Experience:

  • Support of virtual or in-person meetings and presentations using Zoom or Teams to include organizing meetings setting up and facilitation.
  • Customer service experience that includes resolving problems and responding to inquiries regarding policies procedures and services.
  • Agile communication skills using plain talk in both written and verbal to provide direction and information to varied levels of involvement and commitment.
  • Project support experience that includes scheduling orchestration of work to meet deadlines and reporting progress to project managers.


AND Practical computer skills using the Microsoft Office Suite:

  • Excel for spreadsheet tasks database management
  • MS Word for document creation formatting and proofreading for completeness and accuracy
  • Microsoft Outlook or similar email systems for electronic correspondence scheduling meetings and coordinating staff calendars.
  • SharePoint or Viso for project administration support and monitoring.
  • PowerPoint or presentation software to create format edit and run slide shows.


Preferred/Desired Knowledge Skills Abilities and Experience:

  • Two (2) years of experience providing administrative support to executive leadership in a public health health care or regulatory office.
  • Demonstrated experience interpreting and applying state and federal rules and regulations in a public health environment.
  • Working knowledge of the Uniform Disciplinary Act and its investigative process.
  • Demonstrated competency in the use of proprietary established databases or customer service management systems.
  • Demonstrated experience working with highly sensitive confidential and high-security materials in a secure environment.
  • Preparing procurement requests and arranging travel ensuring adherence to organizational policies.

We are theWashington Medical Commission(WMC)

At the WMC we focus on the delivery of safe medical care by licensees with our efforts focusing on quality care and increasing patient access. The WMC is a full-scope regulatory organization with units covering licensing investigations legal service compliance data analytics communications and policy. The 64 WMC staff work primarily remotely and range from administrative staff to clinically trained investigators.


Conditions of Employment:


This position is covered by a bargaining unit for which the Washington Federation of State Employees (WFSE is the exclusive representative.

  • Commit to a full-time 40-hour workweek schedule (flexible work schedule requests must be approved supervisor).
