SCHEDULE: Full Time Non-Exempt (Hourly) 9 am-5 pm Onsite

COMPENSATION: $44500/annual

POSITION OVERVIEW:

Under the supervision of the Associate Director of Student Affairs the Receptionist will serve as the first point of contact for multiple offices and phone lines (including Student Affairs (Residence Life Student Engagement and Leadership Student Health & Counseling Services Disability Resources) Title IX Coordinator SVA Global and International Student Office) and provide administrative general information and support to students faculty staff and the general public. The position is On-Site fully in person.

DUTIES AND RESPONSIBILITIES:

  • Greet and assist all individuals entering the building (340 Office Suite) including Student Affairs (Residence Life Student Engagement and Leadership Student Health & Counseling Services Disability Resources) Title IX Coordinator SVA Global and International Student Office.
  • Provide general information to staff students and their families.
  • Assist with the supervision and training of student staff during office hours.
  • Manage office calendars and space reservations.
  • Provide support for office initiatives including Orientation and Student Affairs programming
  • Answer multiple phone lines and retrieve voicemail messages.
  • Oversee correspondence through the Student Affairs email account.
  • Coordinate housing tours and manage tour intake data.
  • Provide front-line support for Residence Life inquiries received via phone and in person while also managing and supporting reservations.
  • Answer student inquiries assist with advising appointments and provide guidance or referrals to appropriate offices.
  • Assist with event chaperoning and staffing as needed including some night and weekend commitments. (Open House Accepted Students Day VASA events Orientation)
  • Assist with Orientation planning and event execution including the Orientation Course on Canvas LMS.
  • Provide administrative support to the Associate Director of Student Affairs and other staff members as needed.
  • Participate in online support initiatives such as the SVA Concourse in GatherTown.
  • Perform general administrative duties such as emailing photocopying and filing.
  • Maintain the professional appearance of the office and waiting area.
  • Responsible for general office upkeep and maintaining supply inventory.
  • Sort and distribute payroll and mail.
  • Perform other job-related duties or special projects as assigned.




MINIMUM QUALIFICATIONS:

  • Bachelors Degree
  • One (1) year of experience in a related field.

PREFERRED QUALIFICATION:

  • Preferred experience in higher education
  • Proficiency in Adobe Creative Suite and some tech support experience.
  • Proficiency with Mac/PC computers Microsoft Office Google Drive and database systems.



KNOWLEDGE SKILLS AND ABILITIES:

  • Knowledge of best practices and procedures of a front desk receptionist.
  • Skill in verbal written and interpersonal communications to effectively interact with students faculty staff and stakeholders.
  • Skills in planning and organizing
  • Skill in problem-solving and attention to detail.
  • Skill in using computers and common office software including multi-line phone systems and performing tasks like data entry and scheduling.
  • Ability to provide great customer service
  • Ability to manage multiple tasks maintain organized records and handle scheduling filing and inventory
  • Ability to work with frequent interruptions and changes in priorities
  • Ability to adjust focus between near and far objects.
  • Ability to maintain attention and focus in a busy or fast-paced environment.
  • Ability to resolve problems or situations requiring the exercise of good judgment
  • Ability to manage phone and in-person inquiries in a professional patient and friendly manner.

PHYSICAL REQUIREMENTS OR WORKING CONDITIONS:

  • Full-time schedule (35 hrs per week) Monday- Friday 9am-5pm EST. Non exempt. hourly (eligible for overtime)

  • Schedule may change according to departmental needs - work hours may include after-hours holidays and weekend work
  • Willingness to work outside of designed office hours as needed for special events
  • Ability to sit for extended periods (often 68 hours per day) while performing administrative computer and answering phones.
  • Occasional standing walking or moving between offices or meeting rooms.
  • Hand and finger dexterity - required for using a computer typing handling papers and opening a telephone.
  • Frequent use of hands and fingers to operate a computer keyboard telephone copier and other office equipment.
  • Vision - close vision for reading documents computer screens and email.
  • Ability to handle repetitive tasks while maintaining professionalism and accuracy.
  • Ability to bend reach or lift light objects (e.g. office supplies mail files up to 1020 lbs).
