RECEPTIONIST
Description of Position
The receptionist provides clerical support to students parents staff and community members. This position exemplifies quality customer service prompt and courteous handling of all inquiries professional and efficient handling of visitors telephone calls and phone messages.
Areas of Responsibility
Duties include but not limited to the following:
- Greet all visitors courteously determines their needs check appointments and directs them to the appropriate location and/or person
- Professionally answers the switchboard and answer questions or transfer calls to the appropriate person and/or department
- Maintain an attractive reception area
- Reports immediately the presence of any visitor who bypasses the reception desk or any suspicious activity on the part of the visitor
- Maintain an orderly filing system of office documents
- Ensures completion of paperwork sign-in and security procedures
- Assist other administrative staff with overflow work
- Supplies information to callers relay messages and announce visitors
- Sorts and routes incoming and outgoing materials; may require computer and data entry skills
- Processes incoming and outgoing postal mail
- Demonstrate prompt and regular attendance
- Assists in monitoring student attendance by following the proper procedures for tardy students and student check-in/out
- Maintains confidentiality of information
- Promotes a positive image of the school district to the public
- Prepares correspondence forms reports etc. for the principal/administrator
- Managing and organizing student files records and forms
- Assisting with transcript requests work permits and enrollment/withdrawal paperwork
- Helping with routine communication to students and families (phone calls reminders or distributing materials)
- Providing clerical support such as photocopying scanning and filing
- Maintaining calendars for meetings testing schedules and counseling events
- Supporting data entry tasks related to student services
- Perform other duties as assigned by administration
Education & Experience
- High School Diploma (Required)
- Postsecondary coursework in office administration or related fields (preferred)
- Prior experience in: Customer Service Administrative and/or Clerical
Skills & Competencies
- Proficiency in Microsoft Office (Word Excel Outlook) Google Workspace and standard office equipment (phones copiers printers fax)
- Strong verbal and written communication skills for effective interaction with students staff parents and the public
- Demonstrated organizational ability including the management of schedules records and documents
- Capacity to multitask effectively in a fast-paced environment
- Basic accounting and/or bookkeeping skills may be required in certain assignments

- Professionalism with a friendly and welcoming demeanor as the first point of contact for the school
- Patience and empathy when working with students parents and staff in various circumstances
- Strong problem-solving abilities particularly in handling unexpected or urgent situations (e.g. student illness parent concerns scheduling conflicts)
