About the Position

Are you a proactive highly organized administrative professional with a passion for public service The Office of the Insurance Commissioner (OIC) is seeking an Administrative Assistant 4 to serve as the primary administrative support for our Consumer Protection division. In this key role you will work closely with the Deputy Commissioner for Consumer Protection and the Producer Licensing & Oversight Program Manager helping to advance the divisions mission of safeguarding Washingtons insurance consumers.


As the go-to administrative expert youll manage complex calendars coordinate travel and purchasing handle sensitive public disclosure requests and ensure the smooth daily operations of a dynamic and impactful division. Youll also coordinate aspects of the Commissioners Producer Advisory Committee maintaining essential relationships across the agency and beyond.

Duties

The duties of the position include but are not limited to:


  • Provide high-level administrative support to the Deputy Commissioner for Consumer Protection using sound judgment to prioritize scheduling manage requests and coordinate meetings with internal and external stakeholders.
  • Serve as liaison between the Deputy Commissioner and division staff; assist with the annual performance review process and maintain confidential supervisory files.
  • Attend meetings on behalf of the Deputy Commissioner; develop agendas take minutes track decisions and ensure timely follow-up.
  • Review and finalize communications for clarity accuracy and compliance with OIC standards and Plain Talk principles.
  • Research and interpret policies procedures and regulations to support informed decision-making and problem-solving.
  • Maintain division records including personnel actions budget expenditures equipment orders and legislative tracking; support fiscal note and bill analysis processes.
  • Coordinate investigations and responses to complex internal and external issues impacting OIC staff and stakeholders.
  • Manage the divisions record retention and destruction schedules ensuring compliance with state laws and agency policies.
  • Prepare reports on division performance business plan updates and strategic initiatives; collect and analyze data for performance metrics.
  • Support the divisions strategic planning process by contributing to goal-setting tracking progress and evaluating outcomes.
  • Oversee division purchasing and supply management in line with state procurement policies and agency procedures.
  • Act as travel coordinator for division staff handling travel bookings vehicle use and expense compliance.
  • Coordinate and respond to public disclosure requests under the purview of the Deputy Commissioner.
  • Maintain up-to-date desk manuals and ensure procedural continuity.
  • Provide administrative support to the Manager of the Producer Licensing & Oversight Program including complex calendaring records management and coordination of the Commissioners Producer Advisory Committee.
  • Perform other administrative duties and special projects as assigned.

Qualifications

Required Qualifications:


High school graduation or GED


AND


Four years (4) of progressively responsible experience in office/clerical secretarial bookkeeping accounting or general administrative work. *


Required Knowledge Skills and Abilities:

  • Intermediate level skills in Microsoft Word Excel and Outlook and PowerPoint
  • Ability to accurately type at least a minimum of 40 words per minute
  • Demonstrated evidence of superior writing skills and a scrupulous attention to detail
  • Ability to understand complex rules and regulations and ensure that processes and procedures are in compliance with RCW WACs and policies
  • Experience hosting webinars on Zoom Teams WebEx or other platforms

*A degree in business administration public administration or related field from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation or a foreign equivalent may be substituted for relevant experience. Proof of degree may be required prior to employment. If a degree was awarded outside of the United States candidates must provide a credential evaluation report.


Preferred/Desired Qualifications:


  • Two (2) years of experience with the Washington State Travel System (TEMS) or similar
  • Experience using a case management system
  • Advanced skills in Microsoft Office Suite (Outlook Word Excel and PowerPoint)
  • Prior supervisory experience of support staff
  • Experience running and customizing Power BI reports
  • Fluent verbal communication skills in Spanish Korean Russian Vietnamese Mandarin or Cantonese with the ability to score Advanced Mid skill level on the oral proficiency assessment by the American Council for the Testing of Foreign Languages.
