Administrative Assistant IV - District Operations Center
This is an 12 month positionunder the Classified Bargaining Unit.The start date for the position is as soon as possible.
DEFINITION
Under the supervision of the Director of Operations or designee performs a wide variety of office management and clerical tasks including facilitating communications between supervisor community members parents and staff; manages files and other systems; collects and analyzes information; prepares oral and written reports; and performs related work as required.
DISTINGUISHING CHARACTERISTICS
Employees at this level serve as an informational liaison between the Facilities Manager district personnel and the general public. Employees at this level are typically the classified employee with the highest level of responsibility for the operation of the Operations Department. Employees at this level must exercise a high degree of independent judgment and professionalism.
EXAMPLES OF DUTIES
Maintains records service contracts and related files acts as receptionist for the department maintains associated records creates purchase orders and requisitions makes recommendations to department supervisor regarding procedures and practices for department and office operations receives interprets and prepares appropriate records of oral communications processes work orders responds to emergency calls for service and performs routine office and clerical tasks.
DESIRABLE QUALIFICATIONS
Knowledge of:
- Business English spelling punctuation and mathematics;
- Current office practices procedures keyboarding and equipment;
- Use and navigate computer technology with high degree of proficiency;
- Perform word processing and other related software programs;
- Rules regulations procedures and functions of the district;
- Office management principles and ability to apply this knowledge to work problems.
- IVisions School Dude and Frontline software preferred
Ability to:
- Read write and follow oral and written instructions with little supervision;
- Work independently on difficult clerical tasks;
- Perform word processing with speed and accuracy;
- Effectively and politely communicate with students the public and other employees;
- Establish and maintain harmonious relationships with students fellow employees and the general public;
- Maintain confidentiality in all phases of work i.e. records meetings etc.
- Must routinely lift up to 50 pounds unassisted and over 50 pounds with assistance;
- Complete all district required trainings.
Experience:
- Three years of general clerical experience.
Education:
- High school diploma or equivalent as required by Oregon Administrative Rules Oregon Department of Education.
