Chloeta isseeking a Temporary Field SupportSpecialist Ito join our Catastrophe Command Center(CCC)team. This role willfacilitateefficient operations and communication with a focus on providing essential support to our field operations.

Duties/Responsibilities

  • Maintain communication with field units during active operations relaying situational updates to supervisory and management personnel within the command center

  • Broadcast National Weather Services (NWS)alerts toaffected areas and personnel.

  • Upkeep center communicationlogand track all incoming and outgoing communication efforts.

  • Assistin creating documentation and plans that support the Incident Command System (ICS) processes for responses.

  • Distribute automated calls as.

  • Use radio systems and other communication devices tomaintaincontact with field crews.

  • Answer incoming telephone trafficcheckandforwardvoicemails toappropriate personnel.

  • Maintain a trackablelog system for all forms ofcommunication.

  • Coordinate prepare and distribute travel and lodging arrangements ensuring all plans are approved within budget and shared with relevant personnel according to established guidelines.

  • Manage and track travel expenses including invoices receipts credit card statements credit card authorizations.

  • Record and distribute meeting minutes.

  • Schedule home inspections by coordinating between homeowners clients and individual engine teams adhering to specific scripts and client expectations.

  • Managehome inspection schedules by communicating directly with homeowners and engines forany updates that would supportoptimalcustomer service.

  • Maintain accountability of assigned equipment.

  • Locate wildfire activity and growthutilizinga variety of online resources in support of field operations.

  • Assistin documenting wildfire perimeters and changes in conditions in support of field operations.

  • Collaborate with fire-specific Subject Matter Experts andmaintaina strong understanding of industry terminology to effectively support field operations

  • Relay intelligence gathered from the field back to the Catastrophe Command Center (CCC) to support response efforts and programobjectives.

  • Assistthe field in executing Mission Ready Package assignments (work orders) providing comprehensive support in tasks such as navigating various mapping systemslocatingaddresses and clarifying locations as needed.

  • Helpfacilitatedocumentationused in operational and planning meetings.

  • Complete incident reports when necessary andfollow policy inforwardingtocorrect department.

  • Respond to client request/inquiriesfollowingexpectationsestablishedby management.

Required Skills/Abilities

  • Excellent verbal and written communication skills.

  • Excellent interpersonal and customer service skills.

  • Ability tomaintainconfidentiality over information conversations andClient information.

  • Proficientin Microsoft Office Suite Adobe Acrobat Google Workspace spreadsheets onlineformsand related software.

  • Excellent organizational skills with high attention to detail.

  • Basic understanding of clerical procedures and systems such as record keeping and filing.

  • Ability to work independently self-starter.

  • Understanding of multi-channel radio protocols and telephone communication systems with medium to large incoming/outgoing facilitation needs.

Education and Experience

  • Required:Highschool diploma with minimum of1-2years of experience in a dynamic professional office environment.

  • Preferred:Associates degree and background working in call center dispatch center or other operations/communications centers.

  • Preferred:Customer service or Field Support Service experience

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.

  • This role routinely uses standard office equipment such as computers phones etc.
