Job Description

Executive Strategy & Research Partner (Executive Assistant)

Summary

We are seeking a highly motivated strategic and proactiveExecutive Strategy & Research Partnerto serve as the right hand to a busy executive. This is not a traditional Executive Assistant role; it is an opportunity for an ambitious detail-oriented individual tolevel upby moving beyond basic administrative tasks to become a truethought partnerand executor of strategic initiatives.

The ideal candidate will thrive on taking initiative connect disparate pieces of information and be excited about owning projects in research content development relationship mapping and event planning. Key Responsibilities

I. Strategic Research & Relationship Management (40%)

  • Thought Partnership & Meeting Preparation:Act as a research engine for the executives network. Thoroughly research individuals and organizations ahead of key meetings summarizing relevant news recent activities and potential connection points to ensure the executive is fully prepared and informed.

  • Relationship Mapping:Develop and maintain a comprehensive system tomap and connectkey contacts industry targets and opportunities. Proactively identify and research high-value targets based on executive direction.

  • Database Management (CRM):Own the organization and integrity of the contact database. Systematically catalogue contacts update records and tag relationships. Manage the weeklypipeline and lead follow-upprocess including scheduling next steps and assisting with necessary research.

  • Property & Contact Research (Ad-Hoc):Conduct targeted research on properties contact availability floorplans and other ad-hoc requests as needed for executive projects (e.g. Airbnb ventures).

II. Content Branding & Marketing Execution (30%)

  • Content Creation & Social Media Management:Manage the executives social media and email content calendars. Develop initial drafts of content thought pieces and social posts by leveraging AI tools and direction from the executive. Prompt the executive for necessary photos and text.

  • Email Marketing Campaigns:Oversee the entire email marketing process from content development to reporting. Help draft monthly content blasts manage the calendar and identify target lead lists.

    • Reporting & Follow-up:Produce regular reports on email engagement.Propose and execute targeted follow-up messagesthrough the CRM to prioritize engaged parties.

  • Branding & Design Coordination:Serve as the liaison with third-party marketing and design teams (e.g. for presentation templates marketing flyers and event branding).

  • Presentation Development:Assist with the creation of presentations by hunting down necessary research organizing content and coordinating with design resources to ensure professional delivery.

III. Event Planning & Social Calendar Management (20%)

  • Annual & Strategic Event Planning:Develop and manage an annual event calendar aligned with strategic targets. Assist with ideation on event themes tempo and target lists.

  • End-to-End Event Logistics:Own the entire event process including sourcing locations negotiating contracts managing the invitation/RSVP process creating detailed protocols/checklists and coordinating all day-of logistics.

  • Social & Dinner Calendar:Manage both professional and personal/social calendars. Proactively organize logistics for dinner parties coordinate social invitations and RSVPs and work with the executives spouse on shared social events to strategically blend personal and professional relationships.

IV. Executive & Administrative Support (10%)

  • Email Management:Filter and prioritize the executives inbox ensuring all necessary follow-up tasks are scheduled and addressed.

  • Proactive Personal Task Management:Manage a variety of personal and operational tasks such as sourcing service providers (e.g. painters) contesting parking tickets and researching personal finance items (e.g. car loan refinancing).

  • Birthday & Relationship Maintenance:Source and track key contacts birthdays from social platforms one month in advance and discuss with the executive appropriate actions (e.g. sending a gift scheduling a call).

Qualifications

  • 3 yearsof experience in an Executive Assistant Research Project Coordinator or similar high-touch administrative role.

  • Proven Initiative and Problem-Solving:A clear history of taking ownership working autonomously and proactively identifying solutions rather than simply executing tasks.

  • Strategic Mindset:Ability to connect dots think ahead of the executive and understand the why behind an action.

  • Excellent Written and Verbal Communication:Exceptional skill in drafting professional correspondence meeting notes and creative content.

  • Technical Fluency:Proficient in CRM platforms (experience with a specific one is a plus) Microsoft Office Suite and calendar management tools. Familiarity with email marketing tools (e.g. Mailchimp) and AI content tools is a bonus.
