The University of Iowa Department of Neurology is seeking an Administrative Services Coordinator to support both the departments faculty and daily operations. This position is a key contributor handling responsibilities such as credentialing and licensing support for new and existing faculty and assisting with meetings and new faculty recruitment/onboarding as well as helping with other departmental initiatives.
Duties Include:
Coordinating new faculty onboarding by creating agendas scheduling introductory meetings requesting lab coats and door access giving tours etc.
Providing administrative support for clinical onboarding process for new Neurology faculty and APPs
Ensuring timely and seamless credentialing and privileging for new and existing faculty and APPs in partnership with the Clinical Staff Office (CSO) and providers utilizing Credential Stream
Providing administrative support for faculty recruitments by arranging travel scheduling interviews and collecting feedback
Providing timely and clear communication to internal and external stakeholders
Managing annual faculty promotion/tenure review cycle
Monitoring and file renewals for faculty licenses certifications and professional memberships.
Managing IT equipment inventory lists and submit orders for equipment and materials for department
Drafting letters and memos on behalf of Neurology department leaders
Assisting in the coordination of special departmental events or recognition ceremonies.
Maintaining departmental email lists
Maintaining effective working relationships with faculty staff students and other stakeholders.
Providing back up support for other administrative staff with similar responsibilities.
Percent of Effort: 100%
Schedule: Monday-Friday no holidays no weekends
The Department of Neurology is recognized nationally for its clinical excellence physician training and research accomplishments. The departments faculty also serve as principal investigators of research grants totaling $10.7M in direct costs including both StrokeNet and NeuroNEXT grants from the NINDS.
Required Qualifications:
- A bachelors degree or an equivalent combination of education and experience.
- One year experience providing executive or administrative support within the last two (2) years.
- Demonstrated excellence in customer service.
Experience in creating editing a proof-reading internal and external correspondence prior to publication.
Must be proficient in computer software applications including MS Word Outlook PowerPoint Excel Skype for Business and Zoom.
Demonstrated ability to work autonomously and remain organized in a fast-paced environment required.
- Excellent written and verbal communication skills.
Desired Qualifications
Experience with medical provider credentialing and privileging processes is desired.
Previous experience in office project/program management.
Previous experience providing administrative support in a healthcare environment.
Knowledge of University policies procedures and regulations.
Knowledge of clinical scheduling and coordination of patient activities.
Knowledge of medical terminology.
