Position Overview
The Records Management Manager is responsible for leading and supporting the Imaging Operations team ensuring records are maintained in compliance with regulatory requirements and organizational standards. This position provides oversight guidance and mentoring for large-scale scanning operations ensuring alignment with industry best practices while promoting record accessibility and continuous process improvement. This position focuses on efficiency accuracy and the use of technology to strengthen records and information practices.
Major Activities (Typical Duties/Responsibilities)
- Provide strategic leadership to the team; foster collaboration innovation and continuous improvement.
- Coach mentor and develop team members; drive accountability for performance and professional growth across a diverse team.
- Act as the primary escalation point for large scale scanning issues; work closely with customers and leadership.
- Monitor work performance to ensure tasks are completed in alignment with scope cost staffing communications contractual obligations and client requirements.
- Set expectations and performance goals for team members; provide regular feedback and conduct performance evaluations.
- Identify opportunities for professional development and training to strengthen team skills.
- Oversee the implementation and optimization of records management technologies including document management systems and electronic records repositories.
- Collaborate with IT teams to integrate advanced technologies that enhance records management processes.
- Evaluate emerging technologies and industry trends in records management; recommend and implement enhancements that support operational objectives.
- Ensure compliance with regulations standards and policies including DOE NARA and internal requirements.
- Identify and mitigate risks associated with records management by implementing preventative measures.
- Drive continuous improvement initiatives to optimize records management processes and workflows.
- Work closely with Records Management and stakeholders to evolve programs and ensure seamless integration of records management processes with other business functions.
- Develop and deliver training programs to educate employees on records management best practices and the use of relevant technology.
- Foster a culture of records management awareness and accountability throughout the organization.

- Advanced knowledge in Record Management processes systems software and tools.
- Expert knowledge of digitization and scanning equipment.
- Thorough understanding of Federal digitization/scanning processes and requirements.
- Ability to think strategically anticipate future needs and develop solutions that align with organization goals.
- Ability to manage teams mentor staff and provide training to support professional growth.
- Good interpersonal skills: ability to work effectively and cooperatively with all levels of management and staff affiliated-company employees as well as outside business associates; exhibits a professional manner in dealing with others.
- Comprehensive knowledge of the Records Management Lifecycle and its application.
- Ability to lead the implementation and management of records management technologies and systems.
- Familiarity with NARA requirements federal regulations and industry best standards.
- Superior organizational follow-up and detail-oriented skills.
- Ability to maintain analyze and accurate records.
- Work independently as well as on a team and with minimal supervision.
- Make decisions solve problems and exercise excellent judgment.
- Work well under pressure and independently prioritize workload while working on multiple projects.

- Excellent written and verbal communication skills; including thorough knowledge of proper grammar advanced vocabulary spelling editing and proofreading skills.
- Proficient using Microsoft Office products such as Word Excel and PowerPoint and industry-standard computer software and databases.
- High degree of sensitivity regarding confidential information.
Physical Abilities
- Sufficient fine motor skills for the use of computers calculators with an ability to withstand repetitive keyboarding for extended periods of time.
- Visual and communications ability adequate to perform the essential functions of the job.
- Ability to kneel bend and twist at the waist on an occasional basis.
- Ability to reach below shoulder height with regular frequency (desk position) and at or above shoulder height on occasion.
- Ability to push pull carry and lift objects weighing up to 10 pounds on a regular basis and greater weights on an occasional basis.
- Ability to travel by vehicle or aircraft and ability to safely operate a motor vehicle.
Minimum Qualifications
- Bachelors Degree and five years of relevant work experience or equivalent combination of education training and experience
- NARA Records Management Certification preferred
- Previous experience working in industries with stringent compliance requirements preferred
- Familiar with the Handford site and DOE Record Practices preferred
- Working knowledge of the different Hanford Records software applications and processes (IDMS RMAP DMCS SPF RIMScan HDNS) preferred
- Ability to pass a background and drug screening
- Must have identification compliant with the Real ID Act at time of hire
- Must be able to obtain Department of Energy badge
Pay Range: $95367.68- $143106.00/ Yearly
