What this job involves:

As a Facilities Coordinator at JLLs Integrated Facility Management business line you will assist in all areas to ensure FM services run smoothly while reporting daily to the Office Service Coordinator or Facilities Manager providing comprehensive support across multiple facility operations including building maintenance space management and vendor coordination. This hands-on coordination role combines administrative excellence with operational oversight requiring you to conduct weekly building walks to assess maintenance issues work with Facilities Managers and Moves & Changes teams to address internal space requirements and monitor stock levels of stationary and consumables while managing internal moves and maintaining floor plans. You will play a crucial role in JLLs commitment to delivering exceptional facility services by coordinating in-house and external event setup managing fire wardens and first aiders covering receptionist responsibilities when required and managing day-to-day mailroom operations while demonstrating initiative and maintaining professional friendly customer service standards.

What your day-to-day will look like:

  • Assess building maintenance issues through weekly building walks while recording findings and coordinating with Building Operations team
  • Coordinate with Facilities Manager and Moves & Changes team to address internal space requirements and organize team moves
  • Monitor stock levels of stationary and consumables while placing orders with suppliers and managing mail-related supplies
  • Coordinate internal moves within building while working to maintain accurate floor plans with Facilities Manager
  • Assist in coordinating in-house and external events while supporting Office Service Coordinator with vendor management
  • Report defective H&S equipment to appropriate personnel while arranging repairs and coordinating fire wardens and first aiders
  • Schedule training and refresher training as necessary while maintaining upkeep and review of manuals handbooks and guidance notes
  • Cover receptionist role and responsibilities when required while supporting Meeting & Events Specialist as needed
  • Coordinate day-to-day mailroom operations including deliveries enquiries and courier coordination with external key contacts

Required Qualifications:

  • Previous experience working in high-profile corporate environments with customer service background essential
  • Pro-active and hands-on approach with willingness to support other team members
  • IT skills including Outlook Excel and Word proficiency
  • Professional friendly and welcoming attitude with good attention to detail
  • Ability to show initiative with excellent communication skills
  • Organizational skills with ability to prioritize busy workload
  • Understanding of basic procedures and external key contact management
  • Ability to coordinate multiple responsibilities including reception coverage and mailroom operations

Preferred Qualifications:

  • Previous reception or hospitality experience
  • Knowledge of Facilities Management processes and procedures
  • Experience with vendor management and soft service support coordination
  • Background in event setup and coordination
  • Understanding of H&S equipment management and reporting procedures
  • Experience coordinating fire warden and first aider programs
  • Knowledge of moves and changes processes and floor plan maintenance
  • Familiarity with corporate building operations and maintenance coordination
