Job Summary

Overview:

InterSystems France is seeking an experienced and motivated Office Manager to oversee daily office operations facilities management and provide support with HR-related tasks. The role also includes responsibility for leading the Administrative Support Group (ASG). This is a key position in a growing subsidiary requiring adaptability strong organizational skills and a proactive approach.

Key Responsibilities:

Facilities & Office Management

  • Manage the French office facilities.
  • Act as the main contact with building management vendors and contractors.
  • Oversee office services contracts leases insurance mobile phones company cars and travel platforms.
  • Ensure health safety and security standards are met including risk assessments compliance with local/EU regulations and staff training (fire wardens first aiders etc.).
  • Coordinate office moves workspace setup and storage management.
  • Support budgeting and reporting for facilities and office operations.

Human Resources Support:

  • Support onboarding and offboarding processes including equipment coordination and induction.
  • Maintain employee records (probation absence benefits HRIS updates).
  • Assist with payroll data collection benefits renewals and employee queries.
  • Contribute to HR reporting compliance and intranet updates.
  • Support the HR Manager and Director of HR with project work and ad hoc requests as required.

Administration & Team Leadership:

  • Lead and support the Administrative Support Group (ASG) to ensure efficient office operations and a high level of business support is provided at all times.
  • Provide flexible support to administrative staff and reception when needed.
  • Coordinate special projects and respond flexibly to ad hoc requests as required.

Data Protection:

  • Work with in-house counsel to ensure compliance with data protection requirements.

Requirements:

  • Minimum 5 years experience in office management or coordination with HR responsibilities preferably in a fast-paced international environment in France.
  • Strong written and spoken communication skills in both French and English.
  • Excellent organizational skills attention to detail and ability to manage multiple priorities.
  • Strong interpersonal skills and ability to lead a small team.
  • Proficiency in Microsoft Office (Word Excel PowerPoint Outlook).
  • Degree-level education; HR qualifications desirable.
  • Flexibility to travel as required.
