YOUR ROLE
The successful incumbent will be expected to deliver consistent timely accurate and high-level administration and office support including diary and information management.
DescriptionWHAT YOU WILL DO
- Provide administrative assistance to support the General Manager Eastern Region and the staff group on a day to day basis as required
- Provide diary management for the General Manager Eastern Region
- Prepare review and edit correspondence reports documentation spreadsheets meeting agendas minutes provide minute taking and meeting organisation support as required
- Develop and maintain databases and spreadsheets for the recording of information and preparing reports
- Provide Content Manager record assistance and prepare eRequisitions as required
- Actively participate in continuous improvement of Shared Services processes and procedures
ABOUT YOU
- Administrative Skills: High degree of attention to detail and accuracy in file (paper and electronic) and office management. Excellent ICT skills with strong competency in the use of Microsoft Office suite (specifically PowerPoint Excel MS TEAMS TRIM Google docs Outlook diary management and mail merge functionality)
- Communication: Exceptional written and verbal communication and listening skills with a high degree of professionalism in email and telephone communications
- Interpersonal Skills: Strong capacity to establish and maintain positive working relationships within a team environment and with stakeholders across levels both within and external to MACS. Ability to develop rapport and identify stakeholder interests to successfully navigate relationships
- Information Management: Consistent adherence to maintaining high-level confidentiality and appropriately handling sensitive data. Good awareness of privacy obligations policy and procedure
- Organisation: Strong ability to liaise and coordinate with various staff groups external private and public sector agencies including Church agencies. Significant experience in coordinating meetings for management teams in a complex organisation
- Initiative and problem-solving: Ability to navigate conflicting demands and priorities. Capacity to self-direct and be responsive to supervision and general direction when it is required. Experience innovating ways to improve quality and/or efficiency of own output
