Job Description

QUALIFICATIONS:

  1. High school diploma or GED.
  2. Three (3) years of secretarial experience preferably in a public education environment.
  3. Demonstrated computer skills with experience in Microsoft Office suite/computer skills.
  4. Must possess strong organizational skills as well as the ability to handle multiple projects professionally.
  5. Proficient in general office management procedures.
  6. Communicate clearly and concisely in both written and oral form.
  7. Demonstrated ability to exercise independent judgment prioritize tasks and work independently with a high degree of accuracy.
  8. Knowledge of financial records and budget process.
  9. Ability to be flexible and adaptable in a variety of situations.
  10. Bilingual (English/Spanish) preferred.

TERMS OF EMPLOYMENT:

250 days

SALARY/PAYGRADE:

$38963/CP-6

Salary Range (based on experience) as set by the Board of Trustees for the 2024-2025 school year.

ESSENTIAL FUNCTIONS:

  1. Provide administrative and organizational support to the Director including managing schedules coordinating meetings and handling correspondence to ensure efficient operation of the office.
  2. Prepare & process departmental purchase orders.
  3. Responsible for the coordination & ensure completion of the departments New Hire Asbestos Training. Work with Maintenance Department Admin through the process.
  4. Serve as backup by following the rotation schedule to support the front desk receptionist with duties such as greet assist and/or direct visitors customers and vendors in a courteous and professional manner answer phone lines.
  5. Answer and respond to incoming calls take reliable messages and route to appropriate staff.
  6. Manage and process all office supply orders for the department.
  7. Assist in preparing 230/260-day work calendars on a yearly basis.
  8. Maintain department directories (Head Custodian contact list school cluster list office phone list) & provide updates on a monthly basis.
  9. Receive distribute and maintain years of service pins and information.
  10. Schedule coordinate and prepare for special events and meetings specific to the department.
  11. Perform other duties as assigned.
  12. Regular and reliable attendance is an essential function of the job.

EQUIPMENT USED:

Multi-line phone system personal computer and peripherals printer calculator copier shredder and fax machine.

WORKING CONDITIONS:

Mental Demands/Physical Demands/Environmental Factors:

Maintain emotional control under stress; work with frequent interruptions. Prolonged use of the computer; repetitive hand motions. Continuous sitting.
