The Administrative Assistant assigned to Plant Gaston provides essential administrative and operational support to multiple departments across the plant. This role plays a critical part in ensuring smooth day-to-day operations through accurate timekeeping expense processing document management and support of plant-wide initiatives. A strong focus on safety confidentiality and customer service is required along with the ability to work in a power plant environment.
Key ResponsibilitiesProvide general administrative support and customer service to internal and external stakeholders.
Perform timekeeping and attendance reporting for employees.
Process employee expense reports for covered and non-covered personnel via PaySource and Oracle Expenses.
Maintain organized document filing retention and department housekeeping standards.
Coordinate travel arrangements and schedule/organize meetings and logistics.
Gather data compile information and prepare reports and monthly presentations.
Support plant and department Safety initiatives.
Coordinate copier/printer repairs with external vendors.
Maintain yearly boot allowance tracking for covered employees.
Update ARCOS weekly for vacation time off and call-out lists; prepare quarterly and yearly reports.
Act as FMLA contact for departmental time groups.
Verify contractor timesheets using Tableau and backup documentation.
Provide backup support for other Administrative Assistants across departments.
Required: High school diploma or equivalent.
Preferred: Two-year degree vocational school or administrative certification.
Experience:
3 5 years of administrative support experience.
Strong background in conference travel and meeting arrangements reporting and calendar management.
Accounts Payable and timekeeping experience strongly preferred.
Prior experience supporting union employees in a plant environment is preferred.
Extensive computer skills with proficiency in Microsoft Office Suite (Word Excel Outlook Teams PowerPoint).
Professional positive and ethical behavior.
Ability to manage sensitive/confidential information with discretion.
Detail-oriented with strong multitasking and organizational skills.
Skilled in resource organization prioritization and time management.
Ability to create compose and edit written materials.
Strong communication skills both written and verbal.
Ability to work effectively with employees and management across all levels.
Flexible and adaptable to support emergent plant operational requirements.
