Operations Assistant with Basic bookkeeping (QBO)
Location: Remote (Latin America preferred)
Compensation: $1200 - 1400USD/month (full-time)

Schedule: Monday to Friday 10-hour workdays (50 hours/week) PST
About the Role
We are seeking a detail-oriented and proactive Operations Assistant to provide essential support in administrative financial and operational tasks. This role is integral to ensuring smooth day-to-day operations by managing bookkeeping job costing invoicing and customer communications. You will also assist with technician dispatching parts ordering and general office support.

Key Responsibilities
- Manage QuickBooks Online (QBO) including accounts receivable accounts payable and financial reporting.
- Support job costing by accurately entering labor parts and materials into the service management system.
- Generate and send invoices in a timely and accurate manner.
- Provide backup support for answering phones dispatching technicians and scheduling.
- Coordinate parts ordering via email and maintain accurate tracking.
- Assist with general administrative tasks and operational projects as needed.
- Provide phone coverage during vacation periods and act as a reliable support point for the team.
Qualifications
Must-Have:
- 23 years of experience in an accounting finance or operations role (service industry experience preferred).
- Proficiency in QuickBooks Online (QBO) and familiarity with other accounting/ERP systems.
- Strong organizational skills and keen attention to detail.
- Excellent communication and customer service skills.
- Ability to work independently and collaboratively within a small fast-paced team.
Nice-to-Have:
- Familiarity with HVAC or refrigeration services.
- Experience with Service Fusion or similar service management platforms.
- Previous exposure to technician dispatching and parts ordering workflows.
