REPORTS TO: Mayor and Director of Council Services ClerkLOCATION:Initial Placement Paris Customer Service OfficeMinimum Qualifications:- Post-secondary education in a related field or equivalent experience
- Two to three years experience in a senior municipal office administrative support role
- Sound knowledge of municipal governance the role of the Mayor and Council and related political framework
- In-depth understanding of administrative processes and applicable digital applications including proficiency with all Microsoft Office applications
- The ability to prioritize competing demands and an understanding of the executive function in a complex multi-faceted organization
- An understanding of confidentiality and privacy as it pertains to the municipal operations
- Experience in working with a budget overseeing disbursements obtaining appropriate approvals for expenditures and reconciling invoices and credit card statements
- Excellent verbal and written communication skills as well as an aptitude for working with a diverse array of stakeholders and competing interests
- Superior organizational time management analytical reasoning and problem solving skills
- Ability to maintain professionalism and deliver exceptional customer service while under pressure
- Commitment to accuracy and critical attention to detail able to demonstrate flexibility and initiative
- Ability to travel between County offices facilities and throughout the County as required
- Ability to work a flexible schedule including evenings and weekends with the ability to attend events on short notice
Assets:- Experience in dealing with and / or working knowledge of Municipal Councils Committees Boards and Trustees
- Previous experience in a direct executive assistant role and/or administrative support to elected officials
Duties:- Provide administrative support to the Mayor including but not limited to:
- Scheduling and coordinating meeting activities for the Mayor
- Managing the preparation and review of correspondence and other documents for the Mayor
- Scheduling and managing meetings and special corporate events on behalf of the Mayor
- Supporting the Mayor in their role as a representative of the County at official functions
- Supporting the Clerk / Council Services Division with the management of Council and Committee activities
- Providing support in the coordination of key County events and public initiatives and on occasion lead special projects
- Work with the Mayor to prioritize communications and activities to effectively align with the Mayors availability.
Salary Range $68760 - $80426 (Grade 5) 35 hours per week
