Position Summary:
Under the supervision of the Circuit Court Administrative Coordinator performs a variety of secretarial tasks pertaining to scheduling records management and electronic files. Maintains the courts website and performs all the duties of a court recorder.

Pay Rate Information:
The Administrative Secretary/Court Recorder position is a Union position and starting pay is $54230.80/year. This position is eligible for step pay increases within our Court Bargaining Agreement Grade 7 wage scale. Top end of the current wage scale for this position is $64807.39/year.
Essential Job Functions:
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the duties which the employee may be expected to perform. To perform this job successfully an individual must be able to perform each essential function satisfactorily.
- Interviews defendants to determine if they qualify for judicial aid. Follows guidelines and determines if aid is warranted. Initiates the process for judicial aid.
- Receives reviews and processes paperwork for the assignment of appellate attorneys through the states appellate attorney system.
- Receives and processes requests for court transcripts from court officials the prosecutors office and the public. Evaluates each request to determine what is being requested and which services are required.
- Schedules case evaluations/mediations. Appoints case evaluators for the panel each month determines which files are ready for case evaluation and sends notices. Ensures that payment has been received for the case evaluators and the necessary briefs have been filed. Reviews each case for compliance with the order of mediation. Prepares mediator lists for both domestic and civil cases.
- Utilizes the court database to prepare both routine and complex reports of a statistical nature regarding court caseloads and statistical metrics.
- Handles a variety of internal requests from the judges and their staff related to special reports.
- Maintains all recordings of court proceedings for all courts within the county on the same computer drive to ensure compliance with state requirements as well as local requirements.
- Arranges for the public viewing of various court recordings upon request.
- Serves as a backup court recorder when needed. Secures and maintains video equipment Polycom Zoom printers iPads and other devices and ensures that equipment is operating efficiently and accurately. Ensures the courtroom is up and ready for the days hearings.
- Pulls files for the days docket from the County Clerks Office. Begins the courtroom call administers the oath to witnesses draws jurors and alternates prepares and distributes the jury seating chart and provides other courtroom assistance as needed. Maintains juror and exhibit lists.
- Responds to inquiries from prospective jurors maintains attendance records prepares juror payroll prepares juror reports as requested and generally provides services necessary to support the required procedures for circuit court jurors.
- Monitors the video recording system in the courtroom including ensuring that the people who are speaking are properly positioned to maximize recording. Monitors equipment to ensure continued recording quality and performs tasks required to secure video and audio recordings.
- Takes notes and maintains a log of actions in court including describing actions taken on each case noting when the case started and ended noting the appearance of witnesses marking exhibits and other actions.
- Prepares a variety of forms in the courtroom such as warrant recalls orders to show cause bond forms requests for appointed counsel and other forms. Secures the signature of the judge as necessary.
- Executes all forms necessary to court proceedings ensures that the judge has affixed his/her signature. Copies all forms and disburses them to all litigants and necessary parties.
- May serve as backup to other clerical staff for tasks such as scheduling cases taking adjournments typing correspondence and legal documents filing and related secretarial tasks.
- Performs all other duties as assigned.

- High school diploma or equivalent and two years of progressively more responsible experience in a court clerk position or reporting/recording experience in a courtroom setting.
- The county at its discretion may consider an alternative combination of formal education and work experience.
- Valid Michigan Vehicle Operators License.
- May be required to attain Electronic Recorder and Operator Certifications from the Michigan Supreme Court within six months of hire date.
- Law Enforcement Information Network (LEIN) Operator certification within six months of hire.
- Knowledge of basic court proceedings and the court systems procedures and statutes.
- Knowledge of office procedures court scheduling procedures and statutes and maintaining detailed and accurate records.
- Advanced skills in proofreading reviewing forms documents preparing transcripts and reports.
- Skill in assembling and analyzing data and preparing comprehensive and accurate reports.
- Skill in effectively communicating ideas and concepts orally and in writing.
- Demonstrated ability to maintain professional integrity and respect for those requiring court services including the ability to effectively meet and deal with the public.
- Ability to establish effective working relationships and use good judgment initiative and resourcefulness when dealing with county employees contractors to the county representatives of other governmental units professional contacts elected officials court officials and the public.
- Skill in the use of office equipment and technology including Microsoft Suite applications website technology database use and the ability to learn new software programs applicable to the position.
- Skill in the use of audio and video equipment.
