A DAY IN THE LIFE
As an Administrative Coordinator you play a vital role in the operations of our Mechanical business as you work with other Holiday Beach Companies departments to support our company.
Job Requirement and Responsibilities Include:
- Administrative Support Assists with administrative tasks for Holiday Beach Companies such as answering phones serving customers and vendors typing correspondence preparing reports scanning filing and records retention.
- Process Permits - Fills out permits and project applications and verifies all information for accuracy and completeness; delivers permits applications and fees to municipalities.
- Vendor and Subcontractor Maintenance Collects vendor and subcontractor documents including but not limited to: Subcontracts Vendor Maintenance Forms W9 forms and Certificates of Insurance. Inputs vendor information into accounting systems and retains vendor documents per company policy. Assists with the annual vendor database clean up and prepares end of year 1099 Forms.
- Warranty Maintenance and Claims Prepares and processes warranty documents according to manufacturer guidelines. Submits warranty claims and follows up with manufacturers to ensure claims are being processed properly and works with Accounts Payable to ensure credits are being received. Keeps accurate inventory of ordered warranty parts and communicates with managers technicians and purchasing as to status of warranty claims.
- Insurance Maintenance and Claims Ensures new and retained vendors have required Certificates of Insurance on file per company policies and procedures. Requests Certificates of Insurance from insurance agents as needed for vendors subcontractors and Holiday Beach Companies. Prepares and processes insurance claims. Submits insurance claims and follows up with insurance company to ensure claims are being processed and provides management with updates as needed. Keeps accurate records.
- Contracts - Prepares and processes subcontracts contracts and service agreements. Ensures all signatures and paperwork are received and stored electronically in company files.
- Policies and Procedures Assists with the development of policies and Standard Operating Procedures
- Transportation Maintain our efleets account ensuring all vehicles are accounted for in the system and all tags are renewed and maintenance is tracked. Assist with auto insurance claims communication.
- Service Titan Assists with data cleanup and input. Assist with timekeeping and reports as needed.
- Other Perform other duties as assigned by management
QUALIFICATIONS
- Knowledge of Service Titan is preferred
- Able to multi-task.
- Detail oriented.
- Ability to work well with co-workers and management
- High School Diploma or Equivalent
PHYSICAL REQUIREMENTS
- Able to stand and/or sit for long periods of time
- Ability to lift up to 25 pounds
- Must be able to use hands and fingers to operate a keyboard mouse and other office equipment.
- Visual acuity to read detailed reports spreadsheets and screen content.
