HERE IS WHAT YOU WILL DO
The essential duties and responsibilities of the Department Coordinator are the following:
Serve as liaison to the department chair associate chair and/or assistant chair on all communications and correspondence and first point of contact for the departments front office function.
Provide administrative support to the department chair(s) department administrator(s) faculty and staff including but not limited to answering the telephone; providing referral and navigation assistance to various university offices; copying and filing; retrieving information; preparing agendas records and minutes; providing accreditation support; serving as drop-off point for packages; maintaining contact list print fund and swipe card access requests; other administrative duties as designated by the department.
Collect and maintain departmental records (e.g. syllabi academic dishonesty form student concerns reinstatements end of semester grade reports).
Submit and track transactions to administrative and academic services teams including but not limited to Panthermart transactions PTI agreements Vendor Invoices and Payments Faculty Activity Portal Foundation disbursements faculty overload forms etc. Includes providing support to business manager.
Submit payment processing for travel expenses ( reservations and accommodations). Provide general guidance to faculty on the travel reimbursement process and may occasionally facilitate arrangements on behalf of department administrators.
Schedule and reserve meeting rooms audiovisual equipment and other communications media for all department staff. Coordinate college-wide space reservations with PC Facilities.
Assist in planning departmental campus and college-wide meetings and special events (e.g. conferences award ceremonies testing sites commencement Faculty Development Day Staff Development Day Bennekin symposium).
Assist with emergency coordination for the department and occasionally participate in emergency preparedness meetings and activities.
Assist with support of the department/office website (e.g. collecting information/content reviewing pages) and reporting updates and corrections to PR MARCOMM.
