The Finance Manager of the parish is a highly critical leadership role responsible for the financial management planning and strategic execution of all fiscal matters concerning the parish school and affiliated addition to standard financial oversight the Finance Manager will assume the role of Chair of the Capital Campaign Committee spearheading a major parish-wide capital campaign initiative. This role requires exceptional financial acumen strategic vision community engagement and an unwavering commitment to the parishs mission.
The role demands a high level of integrity tireless work ethic and the ability to work flexible hours including evenings and weekends to accommodate campaign efforts committee meetings and one-on-one donor engagements.
Responsibilities:
1. Maintains the accuracy of all financial files and records assures a responsible cash flow management system.
2. Prepares administers and reviews the budget process in collaboration with the finance council.
3. Acts as liaison between the parish and the diocese in administrative/financial matters.
4. Maximizes cash management resources.
5. Coordinates and reviews parish organizations funds (maintains project accounts).
6. Maintains parish petty cash fund (never to exceed $500).
7. Oversee all financial operations ensuring accurate record-keeping and reporting for the parish school and associated ministries.
8. Develop and implement financial policies controls and procedures in compliance with diocesan state and federal regulations.
9. Manage and monitor all accounting functions including payroll accounts payable accounts receivable and financial reporting.
10. Prepare and present detailed financial reports to the Pastor Finance Council and Parish Council on a monthly quarterly and annual basis.
11. Ensure timely and accurate filing of all required tax documents financial statements and diocesan reports.
12. Supervise the preparation of annual budgets for all parish and school operations ensuring alignment with financial goals and resources.
13. Conduct financial forecasting and analysis to guide strategic decision-making.
14. Oversee and evaluate all fundraising activities and their financial impact on the parish.
15. Maintain oversight of all insurance policies risk management strategies and liability concerns related to parish and school properties.
16. Serve as a liaison with banks investment firms auditors and legal professionals regarding parish financial matters.
17. Serve as Chair of the Capital Campaign Committee leading all aspects of campaign strategy organization and execution.
18. Develop and implement a comprehensive fundraising strategy including feasibility studies donor engagement plans and financial goals.
19. Oversee the recruitment training and coordination of campaign volunteers ensuring strong leadership and active participation.
20. Spearhead all donor cultivation efforts including meetings phone calls personalized communications and event hosting.
21. Maintain meticulous records of donor pledges gifts and acknowledgments ensuring transparency and accountability.
22. Create manage and oversee all capital campaign-related budgets and financial reporting.
23. Prepare and deliver persuasive presentations to the parish community school parents alumni major donors local businesses and civic leaders.
24. Develop and oversee a robust public relations and marketing strategy for the campaign utilizing digital media print materials and community events.
25. Organize and execute campaign fundraising events receptions and appreciation gatherings.
26. Ensure timely follow-ups and stewardship efforts to maintain donor relationships throughout the campaign and beyond.
27. Work closely with legal and financial professionals to manage capital expenditures and financial planning for the campaign funds.
28. Act as the face of the capital campaign representing the parish in all external fundraising and promotional efforts.
29. Develop and maintain relationships with key stakeholders including parishioners school families alumni businesses and civic leaders.
30. Conduct regular town hall meetings Q&A sessions and personal visits with potential major donors.
31. Lead efforts to ensure clear transparent communication regarding financial matters and campaign progress to the parish and school community.
32. Foster a culture of stewardship and generosity within the parish by developing initiatives that encourage financial giving and volunteer participation.
33. Work closely with the Pastor School Principal and other key parish leaders to align financial initiatives with the broader vision of the parish.
34. Attend and actively participate in all Finance Council and Parish Council meetings.
35. Serve as the primary point of contact for all financial inquiries and concerns within the parish.
36. Continuously assess and implement best practices in parish financial management.
37. Identify and pursue grant opportunities to supplement fundraising efforts.
38. Ensure compliance with diocesan financial policies and guidelines.
39. Provide financial guidance and mentorship to parish staff and volunteers engaged in fundraising or financial management tasks.
40. Be prepared to take on additional responsibilities as needed including emergency financial management urgent donor meetings and last-minute campaign efforts.
**Time Commitment and Expectations:**
- This role will require significant time outside of standard office hours including nights weekends and early mornings.
- The Finance Manager must be available to meet with potential donors attend campaign-related events and lead committee meetings at various times.
- The position demands high flexibility as new tasks and urgent matters may arise frequently.
- A commitment to excellence diligence and ethical stewardship is paramount.
PREFERRED QUALIFICATIONS
1. Active member of a Roman Catholic parish faith community. (Sometimes this requirement may be satisfied by a person who has knowledge of and is willing to function in a manner consistent with the mission of the Catholic Church).
2. College degree desired and/or 5-10 years of business experience.
3. Bilingual English and Spanish.
4. Three years of successful general office/administrative experience.
5. Typing and/or word processing at 50 wpm. Familiar with Microsoft Office Adobe Acrobat and Accounting and Payroll Software.
6. Previous successful experience with or demonstrated ability to learn Parish accounting system.
7. Demonstrated ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems.
8. Ability to compose correspondence minutes and/or reports.
9. Excellent people relations skills for representing the parish to those who call write or visit.
10. Ability to honor and maintain confidentiality.
11. Supervisory and office management experience preferred.
12. Knowledge of accounting principles and practices.
13. Excellent interpersonal communication skills.
14. Ability to manage. Self-motivated.
15. Ability to present oneself professionally.
16. Ability to prioritize and to be flexible.
17. Able to work frequent evenings and/or weekends and work an unpredictable schedule when necessary.
PHYSICAL DEMANDS/ WORK ENVIRONMENT

WORKING SITUATIONS:
Requires some variable hours and on call response after regular business hours to meet the needs of the parish. Requires some weekend holiday and evening work for events or the ability to arrange coverage. These times include but are not limited to Christmas season Holy Week/Easter fundraisers after mass functions etc. Local travel for business purposes and occasional overnight travel for parish training etc. may also be required.
