We are looking for a meticulous and highly trustworthy Assistant Sales Administration Manager to serve as a right-hand support to the Sales Admin Manager of our client. This person will take primary responsibility for all operational aspects of sales administration - ensuring clean compliant processes around quoting tendering record-keeping and internal reporting. This is a hands-on control-focused role ideal for someone with a strong commercial background who thrives on structure accuracy and accountability.
Responsibilities
Quotation & Tender Controls
Manage the full lifecycle of quotations and tenders submitted ensuring all are documented version-controlled and traceable.
Ensure all submitted quotes are accompanied by the necessary supporting documentation (e.g. three comparative quotes internal approvals customer-specific terms).
Maintain a Quote & Tender Register including submission dates status updates and outcome tracking.
Implement and manage document control systems to archive all quotation and tender-related files in an orderly retrievable manner.
Sales Operations Reporting
Record and maintain weekly and monthly sales statistics segmented by marketer division and fleet category.
Coordinate with the Sales Team to ensure consistent and timely data submissions for sales tracking.
Generate standardised internal dashboards or spreadsheets that monitor quote volumes success rates and pricing trends.
System & Process Governance
Work with the Sales Admin Manager to roll out systems and standard operating procedures (SOPs) across all divisions.
Ensure that all quotation and pricing entries are accurately captured and updated in the TMS or relevant platforms.
Conduct regular checks and internal audits of sales-related data for consistency integrity and alignment with customer contracts.
Administrative & Contractual Support
Maintain and update the Sales Database in line with monthly fuel pricing and contract clauses.
Liaise with Sales personnel to ensure compliance with administrative requirements before submission of any quote or proposal.
Serve as the first line of quality control for all commercial documentation flowing through the Sales Admin office.

Strong sense of ownership and responsibility.
Detail-oriented with excellent follow-through on deadlines.
Process-minded and capable of designing checklists templates or control systems.
Qualifications:
Bachelor of Commerce (BCom) or equivalent commercial qualification (essential).
2 4 years of experience in a sales support operations or commercial admin role.
Advanced MS Excel skills (filtering formulas formatting pivot tables).
Familiarity with quotation workflows internal compliance and tender submissions.
Experience working in or with transport/logistics operations (advantageous).
