Job Description

TITLE: HIGH SCHOOL AND DISTANCE/ONLINE LEARNING REGISTRAR

DEPARTMENT: School

QUALIFICATIONS:

  1. Possess a high school diploma or equivalent.
  2. Possess or have the ability to obtain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card within forty-five (45) days of employment.
  3. Two years of school office experience is required.
  4. Previous experience as a school Registrar is highly desired.
  5. Any combination equivalent to training and experience that could likely provide the required knowledge skills and abilities.

JOB GOAL:

The High School and Distance/Online Learning Registrar performs specific tasks associated with reporting managing and transcribing student information and needs.

PERFORMANCE RESPONSIBILITIES:

The following tasks are essential for this position. This list is not inclusive of all responsibilities. Individuals may not perform all of these tasks or may perform similar related tasks not listed.

  1. Complies with all HIPAA and FERPA related confidentiality requirements.
  2. Develops positive relations with students parents school staff and the public.
  3. Works closely with the Central Registrar to ensure the timely submission of data and information as needed.
  4. Type correspondence reports and forms.
  5. Responsible for being well versed in the District Student Information System.
  6. Responsible for deciphering and entering transcript data for every new enrolling student including international students.
  7. Collaborates with the Central Registrar to maintain student cumulative files.
  8. Assists in answering and directing phone calls.
  9. Responsible for the processing of progress reports collection of grades grade verifications and distribution of report cards.
  10. Generate and monitor GPA (Grade Point Average) reports providing weighted and unweighted designation and generating the weighted GPA report used for class ranking.
  11. Creates and maintains a mentoring relationship with students and helps them navigate the online system and curriculum. Proctors exams as required (Distance/Online only).
  12. Collect and maintain attendance hours and course completions within the District Student Information System to support state reporting requirements (Distance/Online only).
  13. Responsible for deciphering and entering transcript data within the Student Information System for every newly enrolling student.
  14. Ensure working compliance with Academic Planner and other system tools within the Student Information System.
  15. Connects with families and students in the assessment processing and tracking of students with withdrawal codes that impact graduation rates. Coordinates this information with the Central Registrar.
  16. Collaborates with families and students in order to draft High School graduation plans and prepare for final review by the school Guidance Counselor.
  17. Creates and oversees academic contracts as needed (Distance/Online only).
  18. Supports and oversees student completion of Education and Career Action Plan (ECAP) related requirements.
  19. Coordinates and tracks student support group attendance and pre and post testing.
  20. Updates course offerings and schedules and collaborates with the Student Information team in publishing this information.
  21. Assesses completed high school credit bearing classes taken in middle school and tracks and reports successful completion of any state required High School graduation requirements.
  22. Performs other related duties as assigned.

MINIMUM KNOWLEDGE SKILL AND ABILITY:

Knowledge of:

  1. District policies operations and organization.
  2. Interpersonal skills including tact courtesy and diplomacy.
  3. Communication (telephone email etc.) etiquette.
  4. Modern office equipment including personal computers and related software.
  5. School office procedures.
  6. Complex record keeping.
  7. English language spelling and grammar.
  8. Possess a high level of understanding of student/custody legal issues processes and documents.

Skill and Ability to:

  1. Work cooperatively with others and provide a high level of customer service.
  2. Establish work priorities to meet schedules and timelines.
  3. Maintain complex files records and reports.
  4. Operate modern office equipment including personal computers and related software. Must be fluent with the Google Suite of tools such as Docs Sheets and Forms.
  5. Maintain a calendar of appointments.
  6. Read decipher and input transcript information into the Infinite Campus tool.

  1. Require vision (which may be corrected) to read small print.
  2. Require mobility of arms to reach and dexterity of hands to grasp and manipulate small objects. Lower body mobility may not be required.
  3. Perform work which is primarily sedentary.
  4. Is subject to inside environmental conditions.
  5. May be required to work at a video display terminal for prolonged periods.

REPORTS TO: Principal

EVALUATION: Performance of this job will be evaluated annually by the Principal in accordance with the provisions of Governing Board policy for evaluation of classified personnel.

TERMS OF

EMPLOYMENT: 12 Months

SALARY: Salary for the position is set according to the Classified Salary Schedule determined by the Governing Board.
