Primary Purpose:
Provide accurate and efficient records for students provide general administrative support to school administrators and maintain the school website.
MAJOR RESPONSIBILITIES AND DUTIES:
- Oversee proper reporting and recordkeeping related to student attendance and enrollment including transfers withdrawals statistical reports and census cards
- Ensure the maintenance of adequate and accurate student records with regard to class schedule home address telephone number and attendance
- Ensure all students have complete record folders including obtaining transcripts and other records on students who are new to the district
- Ensure collection and proper coding of items of information pertaining to student maintenance scheduling and grade reporting for processing
- Update ongoing roster and student files transcripts and demographic data
- Informs Administrators and/or Counselors of possible student credit deficiencies and/or unusual placements for the purpose of ensuring student success.
- Interprets transcripts of incoming students (e.g. cum folders record card withdraw grades from the previous school fines/fees from the previous school etc.) for the purpose of ensuring their conformance with district grading curriculum and course credit systems.
- Maintains a variety of files documents and student records (manual and machine) (e.g. permanent student record cumulative folders for all students grades transcripts immunization dates etc.) for the purpose of documenting and/or providing reliable information relative to student records
- Maintains master schedules and course booklet for the purpose of ensuring availability and accuracy of information.
- Prepares documents (e.g. student lists transcripts Graduation/Dropout Reports Ethnic Report Course Enrollment programs bulletins reports memos letters etc.) for the purpose of documenting activities providing written reference and/or conveying information.
- Processes requests from students other districts colleges/universities and/or employment agencies (e.g. transcripts job verification etc.) for the purpose of providing requested information.
- Supports assigned school personnel (e.g. answers phones greets students/parents overseas students etc.) for the purpose of ensuring the efficient operation of the site. Plan and schedule tasks taking into consideration school priorities and the departmental calendar
- Collect all data required to maintain systems supporting transcripts grade reporting rank-in class student scheduling school master schedule instructors file special needs LPAC/Bilingual busing immunization social security/state ID numbers city and state and country of birth language surveys college entry codes TAG program dropout recovery and student demographic data
- Verify the accuracy of all processed data recognize discrepancies and take corrective action in support of PEIMS and court reporting requirements
- Complete all input documents and update student database via electronic data transmission to maintain systems supported including the school instructor file student demographic and enrollment data grade reporting and attendance
- Maintains and respects the confidentiality of student and school personnel information;
- Serves as secretary to the Director of Counseling and the guidance staff; provides information; prepares correspondences and related matters; prepares and maintains files and records; assists teachers parents and students;
- Receives and greets persons or groups calling on guidance department staff; answers telephones provides information takes and dispatches messages as needed;
- Periodically update school wbsite create flyers work on graduation events and other events in general
- Performs related tasks as assigned by administrator(s) in accordance with the school/policies and practices.

Employees in this position may encounter stressful situations where a professional attitude will be required. Multi-tasking is essential as deadlines and frequent interruptions are common.
Education/Training (Requisite Skills and Training):
- A bachelor degree in business or related field with experience working in an office or school environment.
- Must be self-motivated and able to respond quickly and effectively to changing priorities. Must be detail-oriented organized and efficient.
- Solid written oral and presentation skills.
- Must be a proficient MS Office user especially Excel. Basic knowledge of math and documentation processes. Professional telephone etiquette.
- Should be flexible with work schedule to work weekend and evening hours as required.
- Must be eligible to work in the United States.
- The successful candidate must be able to pass a background check and drug test.
- Familar with FACTS/Renweb is a plus
