Job Description
Gilead Sciences is a research-based biopharmaceutical company that discovers develops andcommercialises innovative medicines in areas of unmet medical need. With each new drug discovery andinvestigational candidate we seek to improve the care of patients living with life-threatening diseasesaround the world. Gileads therapeutic areas of focus include liver diseases infectious diseasesinflammatory diseases and cancer.
Reporting to the Senior Business Unit Director HIV this is a critical role. The Business Unit Coordinator is accountable for a diverse range of planned and ad hoc tasks and projects. A focusof the role is value-add project-based activity across the HIV Business unit.
Financial & Operational responsibility:
OPEX Management across the HIV Business Unit. Work closely with functional leaders and finance dept to ensure OPEX is in line with budget.
Manage financial requirements including accruals invoices supplier set up purchase order management.
Operations. Support other team members with troubleshooting (but not routine administration) offinancial tasks as .
Facilitate weekly WIP meetings capture actions and follow up with communication of actions/accountability.
Contract management aligned with Gilead processes and systems.
Events management:
Coordinate large events for the directorate e.g. training/team building including budget managementlocation sourcing liaising with vendors planning organising speaker liaison and implementation ofactivities.
Onboarding:
Work with HR Operations HR IT and L&D to support the successful onboarding of new team membersensures IT equipment relevant orientation meetings and all new hire materials are arranged for theemployees first day at Gilead
Continuous Improvement:
Maintain the HIV Business Unit meetings and events calendar and share appropriately with the broader business unit. Identify potential issues and opportunities and work with HIV Business Unit leadership to resolve.
Work with the HIV Business Unit leadership team to continuously improve process and ways of working includingbudget planning/management best practice sharing forums onboarding systems/process training.
Share best practice process improvement and explore efficiencies in the broader affiliate.

Knowledge Experience Competencies and Skills
Bachelors Degree in Business Science or Finance preferable. Project Management and/or ProcessImprovement qualifications highly regarded.
Experience within the pharmaceutical industry is highly regarded. The ideal candidate would have aworking knowledge of pharmaceutical/biotech operations preferably in a commercial capacity.
Must have specific working knowledge of processes related to budget tracking invoicing and purchaseorders contract administration and vendor relations.
The position requires an individual who can apply logic and problem-solving skills under pressure whois adaptable to change and who can be successful working independently as well as within the contextof a team.
Candidate must possess solid organisational skills excellent written and oral communication skillsattention to detail high-level customer service skills positive attitude and the intelligence andresourcefulness to get the job done.
Candidate must have a professional demeanour that can represent Gileads core values of integrityexcellence teamwork & accountability internally and externally.
Works independently; typically work is reviewed infrequently and only for soundness of judgment andoverall adequacy and accuracy
Computer Skills: Basic PC skills (Windows Excel Word PowerPoint.). Experience with electronicdocument management systems.
