JOB SUMMARY:
We are seeking a full-time Administrative Assistant to support our Maintenance Operations Specialist with a range of administrative tasks essential to the smooth running of our maintenance division. This is a detail oriented role that requires strong organisational skills excellent written communication and the ability to work independently while aligning with our internal team.
The successful candidate will become a critical part of our day to day operations by helping keep our systems updated jobs closed off contractors booked and clients informed all of which will help free up our internal resources and improve efficiency across the team.
KEU RESPONSIBILITIES:
Save and organise contractor reports and send them to clients in a timely and professional manner
Book maintenance contractors for scheduled and reactive works
Distribute maintenance reports to relevant stakeholders (internal and external)
Import maintenance schedules from spreadsheets into AroFlo (prepared by internal team member)
Import and update asset information within AroFlo
Assist with AS 1851 reporting and compliance schedules
Ensure maintenance jobs are closed in AroFlo including chasing contractors for reports or completion documentation
Reply file and categorise emails related to maintenance works
Set up new sites in AroFlo including periodic schedules and invoicing
Support general admin and operational tasks as required
SKILLS:
Proficient with Microsoft Outlook Excel Teams and general computer systems
Highly organised with strong attention to detail
Excellent English communication skills both written and verbal
Proactive and able to follow through without constant supervision
Willingness to learn new systems and processes
Ability to manage competing priorities and meet deadlines
Strong sense of accountability and pride in your work
Previous experience using AroFlo or similar job management platforms is a bonus but not essential
