Position Summary
The Administrative Assistant I is a key front desk role that exercises judgement and decision-making to provide clinic clerical services with a strong customer service focus.

Duties

  • Book appointments answer phone calls and respond to emails with a strong customer service orientation
  • Ensure the efficient operation of the office managing both electronic and physical document retrieval systems
  • Provide support for meetings and events including scheduling and coordination
  • Assist with creating and generating reports in Excel
  • Order office supplies maintain inventory levels and ensure timely restocking to support the efficient operation of the office
  • Perform cross-functional responsibilities as assigned

Candidate will be working with a surgeon-investigator at UHN. I am looking for a clinical administrative assistant for a one year contract to replace a current administrative assistant. There is a mixture of patient acuity with many long-term patients. Candidate should be comfortable triaging telephone calls booking clinics and ORs and performing OHIP billing. Candidate must be detail-oriented seasoned and self-directed with meticulous office management and interpersonal skills. Excellence in all forms of communication is critical. I am expecting a team player who can contribute to a stellar division at UHN.


Qualifications :

  • Completion of a recognized post-secondary degree
  • Experience with surgical/medical practice management
  • Ability to work in a fast-paced environment receiving phone requests dispatching calls and inputting data
  • Direct customer service experience is an asset
  • Competence in creating and generating reports in Excel
  • Excellent written and verbal communication skills; office in person and telephone.
  • Strong organizational and time management skills
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Proficiency in Microsoft Office (Excel Outlook Word Teams Bookings SharePoint)
  • Experience using EPIC patient EMR preferred
  • Experience with OHIP billing preferred
